Gift Certificates for Comps

Has anyone used Gift Certificates for tickets with a zero dollar value? We give out auction certificates that are for pairs of tickets that we process as comps. Typically we just generate the certificate in a word document and track them in excel - but I'd like to start tracking everything in Tessitura, and then print them on ticket stock. Has anyone done this?  

  • We do donation vouchers for Zero value. We create it in Tess so there is a voucher number that prints on the ticket we send. Then they can call in to “redeem the voucher or fill a form out and it sent to our email and one of my staff fills the order.

    I do not know about using GCs; given that they are a payment method and not a product, my guess is that trying to get that to work would be difficult.  But, and correct me if I am wrong, it sounds mainly like the goal here is to have something physical and redeemable for a complimentary ticket.  Given that, I might assume that another option besides a GC would work.

    Just like Amanda, we often print vouchers from Tessitura.  We set up a dummy GA performance off in the future with no cost and call it "X Reason Voucher" (where "X Reason" would be the season/series/performance/etc... for which we wanted to issue a voucher).  Then, it is just a matter issuing these vouchers to each person who needs one.  Then the box office will just return each voucher and pull comp tickets.  We have been doing this for 10+ years and have found it to work quite well.

  • Similar to Amanda - we have a Voucher performance that we book the initial tickets in. From there, I've worked at orgs that have things one of two ways. 

    1. Exchange the voucher performance tickets for real show tickets. This allows you to see very easily how many of your vouchers end up going unused.

    2. Leave the original tickets in the voucher performance and book the tickets for the real show with a voucher comp reason and use the organization they were donated to as the Initiator. This lets you easily see how many vouchers you give out in any particular season. 

    All depends on what is important to your organization for reporting purposes, but that's my recommendation. Happy to chat about setup and whatnot if you'd like.

  • We use vouchers.  We create them just like an event in Production Elements.  They have everything on them - Dates they are valid for, how to redeem, the value of the tickets  to be redeemed and a disclaimer that they cannot redeem for cash.  When we receive an email asking for ticket donations for a gala or for marketing purposes, we just go into the event select the number of vouchers wanted, print them out and either have our marketing partners come pick them up to distribute to our partners, or prepare a packet with show information and posters for auctions or gala

  • We use Voucher Letters and track them in a CSI for both the Organization requesting the voucher (for raffles, auctions, etc) and in the recipient's record. This way we can see if all the vouchers are redeemed. Prior to this method, we used a spreadsheet. This is much better!

  • Anyone using vouchers within Tessitura - have you tried setting them up so that customer can redeem them online like a subscription exchange? Or is that not possible because you would need to know the customer's account to put the voucher into initially?
