This isn’t strictly a Tess question (though it could be!), but want to see what everyone else is doing about comp requests. I’m taking a look at how we process staff tickets and wondered what you all do- are staff comps available on all shows across the board, do staff have to fill out a form and have it signed, how do you keep track of which shows are on offer, do you strictly enforce your comps policy or are you pretty relaxed…. Questions like that! Any words of wisdom as I think about what I might want to change would be greatly appreciated!

We handle comps in various ways, but for Staff we use promo codes linked to a specific allotment and a per order cap so they can reserve their own comps online.
If you are attending the conference this year Marsha Rosenberg from BAM will be presenting in the session called “Have you tried…THIS? Ticketing Gurus Share Advanced Solutions and Innovations” on how she handles comps from other depts using CSIs. It looks to be a really interesting session.

Let me start saying out that all Science Museum tickets are GA. We are fairly liberal with use (generally no black-out times, although we do occasionally date limit special exhibit comps). Staff may either make an actual reservation, or pick-up a voucher to give to friends etc. We redeem staff comps with a “Comp” price type and “Staff” Reason Code (number of staff comps available are tracked as a attribute).

Staff at the Hall are entitled to two pairs of comps each year for any performance (for which there are two pairs available) which they can apply for and then go into a draw if more than two people apply. We also comp our lower selling shows (generally only ones promoted by the Hall) and for this we ask that they just collect their tickets before the day of the show.
We just issue to the usual comp price type and we don't really do any reporting on it.

Staff and musicians are allowed 2 complimentary tickets per concert weekend for all our Classical Series concerts. These tickets are handled online through allocations. For all other concerts staff and musicians fill out a comp request form that is either e-mailed or put in the box office managers mailbox. Those requests are filled based on availability week of show.

Staff are allowed to apply for comp tickets to any show in the main auditorium. At the moment a form is submitted (signed by their Manager) and the forms are entered into a ballot (if there are more requests than seats available).This is managed outside Tessitura at the moment apart from the tickets that are issued.
We are hoping to change this so staff can fill a request online that creates an unseated order and then based on a series of criteria (how long since last comps, previously unused comps etc) they get a ranking and then the Automated seating report can be run to seat the people who are eligible for comps.

For our regular mainstage productions we offer staff 2 comps for previews or opening, and an additional 2 for select dates during the run. For outside productions comps are offered, or not, per the specifications of the producing company.
Staff are asked to arrange for their comps in person at the box office and show their employee badge; we have "Staff Comps" as an order Category which allows our box office staff to quickly check comp history in Order Search. We also have "Staff Comps" as a keyword which makes it easy to find valid comp dates in Product Search.

We are interested in offering comps online, but haven't been able to get it to work. Is there anything special we need to do in Tessitura to make it work online?

We have a specific MOS and Price Type that are only linked to the allocation that we want to use for Comps.
Then we set up a Promo Code which is linked to that MOS and an Offer that limits the number of tickets a person can get in a single order.

We've been batting around the idea of doing our comps and staff discounts entirely online. Using ranking for staff with a MOS shift and cart validation to be sure no one uses more comps than they're allotted. We think staff will like being able to select their own seats and know right away what they've got, and using allocations sales managers maintain control over what and how many seats are available, and hopefully have less work in the long run.
We implemented staff comps online this season and they love it. It also frees up our box office personnel from processing them.

We use Ranking for our VIP offers because we don’t want those to be forwarded, but we have issues with them understanding how to log in and what steps to take after they log in.
Using a Promo Code is way easier, but they can be forwarded easily as well.

We allow 2 comps per offered production per staff member each season. Staff are coded with a constituency and with some web coding, we have everything online. Staff login to website with a specific promo code and we create an online offer for each performance offered. We can also limit the number of tickets available in total on each performance and remove that performance when it hits it's limit.
The added security of the constituency allows us confidence that our staff are not sharing this promo code as no one other than someone with the constituency would be able to login to the website with it.
