Hi All,
The end of our fiscal year is at the end of June and I'm building our performance schedule for FY17. The Wadsworth is an art museum. For ticketing, we have a few daily performances like General Admission with a perf code similar to GA.0701, GA.0702, etc. When I apply the multi-event builder utility, I get a message that the EVENT CODE ALREADY EXISTS. I've looked at the Campaign and Season to be sure they are set up for the next fiscal year. I can copy the performance one at a time without an error message. Any ideas what I'm overlooking? I "sort of" get that the perf code already exists, except that I thought changing to a new Season and Campaign would allow them to be re-used. Any suggestions are appreciated. Thank you!

That's not a built-in utility, is it?
I think it's likely that whoever wrote that utility is doing some overzealous error-checking. Using the client I can create a perf with a dupe perf code if the season is different, but not within the same season. Perhaps the utility is checking for a duplicate perf code, but it's doing it for all seasons instead of just within the season you are working on.
Unknown said:Hi Sue, I think you'll have to add the year into your perf codes (GA.160701) to make them distinct year over year. Different seasons and campaigns don't help that way.
Definitely. E.g. we do "A Christmas Carol" every year, so dupe perf codes would be an issue if we didn't build ours something like so:
CAR161120E
I.e. three characters for something related to the name that is helpful for searching in order entry
+
two digit year
two digit month
two digit day
one character for Evening or Matinee.
Seriously folks, I just determined that the client allows dupe perf codes as long as they're not in the same season. Are you saying that's a bug?

Not a bug. The docs say:
Enter a performance code in the Code field. Up to ten characters can be used; letters are automatically capitalized. The performance code must be unique within a season and is used to identify or select the performance for orders, reports, and lists. (Required)
Our habit of making them unique over all time predates our conversion to Tessitura.
Hi Sue,
It is my understanding that performance codes are a unique identifier associated with that specific performance, they cannot be reused (even under a new season). We add 2 digits for the year to all of our performance codes.

Thank you all for writing!
Yes, it’s a built-in utility. The season has changed (from FY16 to FY17). Some of the dates/perf codes will build – if a date was not used last year (on days we were closed).
The odd thing is, the system will let me “copy” the event one at a time without any apparent problem. It just won’t let me do this bulk copy – which is built on the CUSTOM tab for performance set up. Does that make it a bug? We don’t want to change the perf code format if it isn’t necessary. Thank you for being a good sounding board!

As Nick said you should be able to re-use codes if the codes are in a New Season which from what you are saying they are, it does sound like the bulk build is doing some checking that isn't taking into account that they are in a new season.

Performance Codes must be unique within a season. http://www.tessituranetwork.com/Help_System_v125/Content/Performance%20Setup/Performances.htm
The Multi-Event Build Utility has been updated to revise the check to ensure the Performance Code has not been previously used within a season. Tessitura Support is working with Wadsworth Atheneum to get this revised version installed.

We are having the same issue with the multi-build utility. How can we get the update?
