Donated Tickets

Hello...

I'm wondering how others handle donated seats for resell when it comes to reporting to the promoter, especially a Broadway show.

If you donte a seat does you ticket count go down by the number of seats donated and your money stay with the show? When the seats are resold does your ticket count go up by the number of seats sold and your money go up as well. And do you show this to the promoter?

  • Hello Boann,

     

    Here at First Stage, we use the donate option. We do the donation in an exchange MOS but you could create a donation MOS if you wanted. From my experience doing daily sales reports, in Tessitura, the money is removed from performance revenue. As far as where it goes from there, I’m hoping someone else on the forum can answer. I don’t ever see the money as “on account” so my assumption is that the money moves to a development GL account. I could be wrong in that summation, but that is my gut feeling. The nice thing about doing it as the donation option in ticketing is that you or someone in your development department can run the donated seats report and send letters, acknowledgements, etc to the patrons who donated their tickets.

    Hi Boann,

    In the museum world, we use the donate ticket function for rain checks: we are able to keep the ticket revenue and give or mail vouchers to future performances. The ticket money stays in ticket revenue. Here we deal with many performances of the same production, and runs over several months; so we don’t have the same producer concerns as theaters.

    Hi Boann,

    We return the seats; then in the same ticket order go to the contributions tab and allocate the money to a Returned Tickets fund. So they count as donation revenue.

  • Hi Christopher,

     

    I wanted to clarify what happens when you use the Donate for Resale option.  The money does not leave the ticketing revenue.  The seat gets released without any financial transaction taking place.  If you choose, you can send the revenue from the resale of that seat to a different GL, which is why there are 2 GL fields on price maps.  Most standard sales reports then give you the option to include or exclude the resale of the donated seat, but the original sale is always counted.

    We do not use the “Donate for Resale” functionality because we do not want our capacities to ever be “oversold”.  We do allow tickets to be returned and then we put the money “On Account” for it to be applied by Devo.  We do a lot of rentals and it is cleaner for us this way.

    We are using the Donate for Resale function, so revenue remains as ticket income, but now the seat can be resold.  We only use this for people who have physically handed us the tickets, so we know that they can't be "used" by a forgetful patron.
