RSVP program

The Houston Symphony is interested in knowing if anyone uses an online RSVP system that connects to Tessitura.  We want to provide our patrons with the ability to reply to an invitation via a website, and then upload the data into Tessitura.

If so, what is the name of the program?   How does it update Tess?  How well does it work?

Thank you,

Jan LaRocque

  • Jan,

If you use mail2, you might want to take a look at their latest newsletter that just came out this morning!!  It's specifically about using mail2 to integrate RSVPs into Special Events in Tessitura.  I'm not sure if that's what you were looking for or if you have mail2, but worth taking a look if you do.

  • Thanks, Teresa.   That is exactly what we are looking for, but we don't use Mail2.   Do you?   How is it working for you?   We are currently using WordFly.

  • Jan,

We do have mail2 and love it.  I don’t believe our Devo dept has used the new feature yet.  I forwarded the newsletter to them earlier today and my hope is that they will give it a try soon.  If the feature is like everything else with mail2….we will love it!

  • We use mail2 and it seems to work fine. However, being that it only uses special activities' for invites we did build a in household custom system to allow to RSVP for events via email invitations. I will be more than happy to share the process with you.
  • Hi Sarah,

I’d be curious to learn how you set this up.

It is possible to do this using Wordfly.  That Malthouse Theatre do this, and we have been trialling it at STC, but haven't put it into production yet.  I'd be happy to give you details on how we have set it up if you're interested.

  • We use mail2 - and we're very happy with the RSVP functionality.  It integrates well with Tessitura and updates Activities in real time.  If the "Manage Special Activities" utility has been used to add the Activity to a List of people but someone other than a person on the List replies, it adds the activity to the constituent record.  If you have a DBA, you can update the stored procedure behind the functionality to offer a range of responses - rather than "Yes" or "No" to the "Are you attending...?" question.  mail2 also offers you the ability to collect other data such as the number of attendees and notes (which we often use for dietary requirements, etc).

  • We also do this through WordFly. Invitation emails include buttons with unique links for each of the possible reply options, which then talk to Tessitura to update the activity records.

The set up is pretty easy, but requires a little bit of custom code to be written into a procedure by your DBA. When I was setting this up, I found that the linked document from WordFly didn't really give all the necessary details-- so if anyone who uses WordFly would like info on our set-up/code, feel free to reach out.

  • We are using wordfly as well and I found all reply coming back from wordfly into Tessitura.

Now I have update the activity according to the respond we get from customers.
