Short Version: I am creating a fixed seat package including 5 titles. One of the titles is in a smaller venue, unable to accommodate the number of subscribers we may expect to attend each performance. How do I create a 5 show fixed seat package, where one title has an option to choose your date?
I am concerned that if we make the entire package a flex, we will be unable to rollover subscribers seats next season. I have thought up several work-around options, but I hold out hope that my hero is out there with an answer that plays by the rules. Thank you.
We have a fixed subscription with one show that has several dates to choose from. We set up a fixed package and include one date of that show (the one we expect to be the most popular in attendance) then we make the package 1 less for a minimum number of perfs in the package allowed. This allows us to drop that one show out of the package and pull one of a different date if needed.
I think I understand, but when I make the Super Package I cannot indicate a minimum or maximum number of performances. Is indicating the minimum number for performances something I should be doing at the Sub Package level, or the Performance Group level?
At the sub Package level. When creating the package under Ticket Setup/Packages on the Package Detail tab there is a Min Perf box and a Max Perf box. If you have a five show package and you want to be able to exchange out one of those shows, set your Min Perf to 4 and your Max Perf to 5. That should do the trick.
Thank you for your continued help, I am still trying to crack this nut. Im using two venues for my season. Under "Packages", I have to create two fixed seat sub packages, then unite them in a Super Package. I can only enter min and max parameters if the sub package is flex...thus, non fixed seat. When creating a super package I cannot choose a flex package to be a part of it, it does not appear in the drop down : /
I don't have experience with Super Pkgs but I think you should set you min/max in the sub package of the super package.

I’m very familiar with Super Packages as I have two venues here we also subscriptions at. What you are saying below is correct, you won’t be able to have the flexibility you are looking for with the optional performance dates. (would love to have this one future tessitura enhancements)
However, we came across this for one of our productions a few years ago, we knew the show was not going to have a Sunday evening performance and this would cause problems for the subscribers for that night. We ended up creating the performance and called it a dummy performance or a place holder for the subs to be able to renew. The reps would ask what night they wanted to attend and would remove the line item and exchange into a true performance. Not sure if you are selling subscriptions online but we ended up doing this, yes it took a little bit of web development. Similar to what the reps were doing but instead of seating it live we used CSI’s to keep the information for us to go in on a later date and make the exchange.

We have a couple of series that is like this every season. We set up the performance that is in a different venue as a dummy event within the package for the rollover. This is then dropped and reseated into the live event. Factoring in the human-error element, we always put a required note on the dummy event to alert us before we complete the order so we don’t accidentally leave it in there. (Order Error: A dummy event is seated in this order. Please re-seat into the corresponding event.)
Note that this affects your web orders. We generally just check everyday for new orders that come in, or check for any orders that are seated in the dummy event, so we can re-seat into the correct performance.
We’ve also had to rollover into a package where one of the shows was in a smaller venue. This took a little bit of creativity. J If you need info on how we handled this one, let me know.
