Hello all,
Like many other orgs I have been assuming, the Australian Ballet creates separate Performances in order to print out programs vouchers and drink vouchers. These tend to clog up the product calendars, and generally get in the way.
Has anyone come up with any better solutions to this? It may be that unique Performances are the only solution if one wants to let these vouchers print out in batch prints, but hope springs eternal.
Cheers,
Nicholas
Hi Nicholas,
That's exactly what we do as well and I completely agree that it clogs up the calendar. We do use a generic bulk date at the end of our season for our souvenir program and drink vouchers (as they can be redeemed anytime within the season) and the vouchers don't have a specific date on them but rather have ticket text that says they are valid for xxxx season.
However, when you have 4 venues, hearing assistance receivers, parking etc. that happen at each scheduled performance, it gets messy.
We'd also like a way to easily tie these to the actual performance for our website. Right now we have a pile of code that grabs all of the ancillary and puts it on the page for the performance but if there was an easier way to do this, we'd be all for it!
Michele
Like yourselves, we do similar things in terms of donation/BOGO vouchers as well as things like prepaid Valet passes, and we end up with, I am sure, just as many "ancillary" performances as every other organization.
In terms of keeping the product calendar clean, we make sure to always set the client publish start and end dates (first tab of the performance itself) for these things before the current date when we build them, thus they never actually appear on the calendar and clog up things. That also allows us to be able to put the valet events at the actual valet "start time" rather than at the end of the season at 11:59 PM. We still do that sort of thing with all our vouchers though just for cleanliness's sake. Our staff much appreciates that these events do not appear in the calendar and clog things up as everyone on staff knows that valet will precede the show; they do not need to see it.
This does make all of these hidden events disappear from the first search on Season Maintenance, but fear not. You can still edit them using Season Maintenance by checking "Show All".
In terms of simplifying batch printings, we make sure to create a separate season for each big group, that is, one for vouchers, one for valet, etc...
In the past, I’ve built one performance at the end of the year (at 11.59pm) for programs, and another one for drinks, but I wasn’t concerned about capacity/inventory- although I could always run sales reports to let me know where I was at. Could you go that basic?
Alas, for dining, I’ve got daily shows, and sometimes more than one…..
Cheers, Kathleen

Thank you all for the very thoughtful responses, so great to hear from you.
It sounds like some simplification of drink vouchers and program vouchers into generic Performances at the end of the year is worth pursuing.
Perhaps QuickSale will make this more user friendly to the staff who need to access these? I can totally see a special QS screen that lets staff add in Drinks or Program Vouchers for specific Productions, or whatever. If that works out, I'll post back with our experiences.
And nice to hear from you Kathleen, Melbourne misses you!
Hello, all!
I'm going to reopen this conversation two years later hoping someone has found a solution to this issue. We're running to the same thing with drink vouchers and want to move into the 'one perfomance at the end of the year' route to allow for easy scanning.
The issue we're running into is with the Box Office and the way we do batch ticket printing. Basically, we need to find a way to pull in the drink voucher performance into day-of batch, as the voucher performance would live at the end of the fiscal. Any thoughts?
Thanks for the quick response, Michele!
To clarify, you use a combination of both the lists and the different HABO batch sets, or one or the other? In my example, the lists wouldn't catch the drink voucher performance, but the HABO batch set would - however, wouldn't it also catch any tickets in that order booked with any future performance?
Emily,
We use lists in our batch sets for the day of batches. We have 4 venues with a possible matinee and evening performance at each venue. Therefore, we have 8 lists specifying the performance date = rundate, venue, order delivery set to HABO, Seat Status = Seated, Paid and time slot.
We then have 8 different HABO batch sets that have all performances selected. So in essence, the list grabs everyone with a seated, paid ticket for the matinee at this theatre and then because all performances are selected in the list in batch printing, it will print all of the tickets.
Your other option would be to always select the drink ticket performance in your performance list when you select today’s performance.

Yes, combination of both lists and HABO batch sets, and yes it does print all tickets in that order for future performances.
