I just did our rollover in test and I have a question about best practices with a subscription issue.I exchanged a subscriber out of our last two performances of the season when she first received her tickets. When we started selling two pack subscriptions for our final two performances, I accidentally sat this person in one of the seats that I exchanged the other subscriber out of.
When I do the rollover, it seats the original patron in the seats. The patron with two pack subscription gets the error message and is unseated.
I'm going to have to move the two pack patron to a different seat for next season, but is there anything I should do before I do the rollover in Live? Since she won't be sat, once I do the rollover, should I just go in and seat her in different seats? I only ask because I remember something being tricky and tied to an order date in the subscription order. I have to enter an order date to save the order, but she will still have a balance due.
Just wondering what other people have done in this instance.

Hi Allan. For PCS we’d leave it unseated for a couple reasons. One being that we use the order date to determine any seating change request priority and the second being that in TNEW at least doing any editing of the order would prevent the customer from being able to renew online. I suppose given the circumstances this might be someone you may give different seating priority to anyway. If this were in our fixed seat theater we’d probably pull the renewal form to include a note about their seating.

The seats the rollover uses are the base seats. If you want her seated with the rollover go into last year's order for the 2-pack person and only in the base seat map move her to seats that you know are free in the base seat map for both the full series and the 2-pack series then she will be seated correctly in the rollover.

The base seat map is independent of the other maps for the subscription so unlike the composite map changes to the base map only affect that map and nothing else. Be aware that the base map only shows the seats for the package you are in, if you have mini packages you might want to take a screen capture of the full package base map so you can make sure you are moving them into open seats. Also there is not a way to reflect hold codes on your base map and the rollover beats non-blackout hold codes so keep your standard hold codes in mind as well.

I am actually in the process of working on my 1516 rollover and have a similar situation. My worry-wart question is: if I make the seat change on the base seat map for the 1415 subscription year, will this affect any 1415 performances that have not played off yet in the patron’s 1415 subscription?

Thanks for your response. I think I would like to do what you are suggesting, but I am having a little trouble executing it. I'm not quite sure what you mean by base seat map. I went into the order, and I had the line item selected and went to the seat map and moved the seats. However, when I went and checked the patrons seats, they had moved for her two performances this season. So, I don't think I am in the base seat map. Could you point me in the right direction?

In the seat map the initial view is the composite seat map which shows the union of all the underlying seat maps. Once you are on the seat map click on the Perf List button. That will get you a listing of all the seat maps in the package, the composite map, the base map, and the individual performance maps. Click on the Base Seat Map row and that will take you to the base seat map. Release the seats for the constituent (the green ones) and then select the new seats. When you are done in the perf list you should have all the maps should have the same number Seats Assigned/Needed.
