Relaying Expected Attendance to FOH

Good afternoon Tessiturians!

We have been struggling to find a way to impart expected attendance to our FOH and Facilities Staff so that they can properly staff for any given event.

We could use the Ticket Sales by Period Report but were looking for a way to relay this information without including any revenue reporting.  Has anyone done something similar or does anyone have any advice?

Currently we're manually checking and sending this information to these teams as they do not have access to Tessitura at this time.

    I’m a HUGE fan of giving FOH and Facilities Tessi logins (and even Production Crew)- that way they can take some ownership and view seatmaps and run reports on their own.  But in the interim, you could schedule the canned Attendance by Performance report to be sent out- it only has ticket counts, and there are no sales figs on it.  But I highly recommend setting up some user groups that are locked down to only certain view-only things, and only certain reports

  • Hey Chris,

    We have a report that details attendance only figures. It includes sales, as well as unsold held seats on certain hold codes (eg: Ticketmaster allocation) and breaks this down by Zone for each performance in a given date range.

    Would this report be of any assistance to you?  Happy to share if you like.

    I also 100% agree with Kathleen - it's even better if they have access to the Client Application to view live seat maps and other performance info themselves. Our FOH team provide even more amazing service by having all of this information available.

  • Our FOH teams have access to Tessitura and we also have reports that can be run which show the Paid, Reserved, Available, Held and Capacity as a %. It can then be run in summary or detail mode (which shows the capacity per level of the Hall.

  • Just throwing in my $0.02… one of the best things that I ever did was train our House Manager on Tessitura use. He’s able to provide much better service to our patrons, can give much better information to our ushers and other FOH staff, allows him to assist our venue’s box office with troubleshooting as needed, and it empowers him to better represent First Stage in general because he has more information about performances and patrons. I’m definitely in favor of HM’s being in the client!

     

    But to answer your question, we use the Attendance by Performance report to look at pre-show house counts. It’s the least cluttered and has the info.
