Hello Everyone!
I am the E-Marketing Specialist for The Smithsonian Associates. Until we are on Version 11, I was wondering how to pull extractions so that my emails went to both emails on an account. Would I have to create a custom Output set or is this something I can set up in the criteria of a segment? I'm assuming a custom Output set, because you can't pull two emails in one row.
For example: Both Mr. and Mrs. Smith have emails on file. But Mr. Smith's email is the primary one even though his wife does on the planning and he NEVER actually checks his emial. We want to be able to send the email to both Mr. & Mrs Smith to better market.
Please shoot me an email if you have a suggestion/solution,
Much appreciated,
Jamie Schneider

Hi Jamie,
There is info available about how to do this in the Output Set Builder Cookbook.
*EditStarting on page 10.
We just discovered this same issue (our org is new to Tessitura) when we noticed that our Wordfly campaigns were only sending to the primary email address!
Has anyone out there found an easy solution? I'm naively hopeful there's a solution our there that would allow us to send to primary & secondary email addresses when we run a List Manager in Wordfly..
See page 10 of the cookbook:

Awesome! Thanks so much!
I run two extractions for each e-blast. The first one looks for primary e-mail addresses with the primary flag checked that meet all the criteria for the e-blast. The second one duplicates the first one, except that I look for e-mail addresses with the type of TMS Second Address. We handle this manually at this point. I change the e-mail address type when I merge accounts, or when patrons indicate that they want to receive e-mails at more than one address. The advantage of sending two extractions is that you can then tell which address you used. I include “E1” or “E2” at the beginning of each source segment so that I can tell which e-mail address the source refers to. Then, if one address unsubscribes or hard-bounces out, I can mark the specific address (I change its type to “TMS Hard Bounce” or “TMS UnSubscribe”) and remove the no-emarket restriction from the account. I update via query except for accounts that have more than one active e-mail address, which I have to check manually.
Another advantage of doing it this way is that you can tie specific salutations to each e-mail address, so that Mrs. Smith gets addressed by her name, and Mr. Smith by his, if you like.
For our active e-mail list, which is under 30,000 names, I get about 4 accounts a week that I have to check manually. All others, I can update via query.
I’m going to have some clean-up to do prior to the version 11 upgrade because we didn’t set up our primary and secondary e-mail addresses to correspond to Name 1 or Name 2 values. There aren’t too many accounts, though, where we send to two e-mails per household. So you might want to consider the upgrade if you are going to develop new e-mail address types.

Is it possible to apply this in version 11 to pull all emails affiliated with a household account? We are running into issues with customization of emails as our transactions are at household level but most email addresses at individual level. Ideally we would like to send a custom email to both John and Mary Smith with transactional data pulled from the household account!
Thanks!
Tracey,
This is exactly what the search household checkbox will do for you. For any criterion that may sit on the household that you want to behave like it belongs to the individual check the Search Household checkbox next to that criterion and it will treat the household data like it belongs to the individual. In a very simple example for a segment or list you might have something like this:
Ticket History Season IN (1,2,3,4) Search Household Checked
Eaddress Type IN Personal Email Search Household Un-Checked
This would give you any constituents that have a personal email address and tickets in seasons 1,2,3 or 4, and it will also give you any constituents that have a personal email address, and their primary household has tickets in seasons 1,2,3 or 4.
Best,
Anna
Thanks Anna! I have figured out how to get the constituents already, the problem is linking the transactional info with these affiliated individual constituents. So we want to email subscription seating info/amounts to both individuals in the household but the email addresses are with the individuals and subscription data at household level. This means that when I pull the data, I am getting the subscription info with no email address and email addresses with no subscription info. I am trying to figure out a way to tie these two pieces together!
Are you using an output set for this? If you are you can also set the Include Primary Household checkbox for that data as well. If you are using standard reports against a list then you are correct, there would need to be some data manipulation to get the data to the individuals.
To be honest, I have tried everything and am no closer to getting the data I need. I am running lists through the subscription renewal notices report as this report gives us all the renewal data we need. Unfortunately, I can't pull individual email addresses/logins with this report, only those on households. If I pull the emails/logins by affiliated individuals I can't tie them to the household data as there is no transactional data at the individual level. I'm sure someone must have run into this problem and fixed it - please!!!!!
Hi Gloria,
I am looking to pull household and affiliated email addresses, along with subscription information for renewal - series / seats / total due / contribution ask. We use the subscription renewal report to pull out the transaction info and that also pulls the household email, but not the individual affiliates! Would appreciate any info / suggestions! THANKS!!!!
That would be really helpful Gloria! I don't know SQL but we do have an IT person that could likely do something with it. If you don't mind sharing, you can email me at tflattes@vancouveropera.ca
Thanks so much!
What type of transactional information do you need in addition to the emails? Ticket purchase? I have a custom procedure that pulls individual and household emails (along with other contact information) and I use this for a report the box office runs to send contact information to promoters. It includes order#, date and #seats. Is this what you are looking for?

I am not pulling any contribution information and I don’t show a total due. However if you have a SQL person they could probably adjust the procedure. Let me know.
