Appeals and Gets

I've put together an appeal for our board. The trouble is, when board members "get" a contribution--that is, a friend or associate gives the contribution at the behest of the board member--that donor is not going to be in the list that the appeal was based on. So the appeal doesn't show up as a source when you enter the contribution, and it makes the reporting a lot more difficult.

Does anyone have any advice?

  • Can’t the board member be the solicitor of the gift ?  You can have source code for the ad hoc gifts not in the source code with a list for same appeal

  • You could set up an outside source for each member of your board—or, if you don’t need to be that specific, or if it’s not possible to tell which board member solicited the gift, one outside source for contributions not on any board member’s original list.

    We actually set up Board appeals at the beginning of each year: Board Corp, Board Fnd, Board IG.  In each appeal, we create outside sources for processing Board contributions.  For “gets,” we use the naming convention “BD GET – BD Member Last Name, Tess ID.”  This way we can report on all of the money raised by the Board, gives and gets, which Board member gets credit for the get (we do not soft credit gets, only gives), so on and so forth.  This is the third year we’ve been using this system and it seems to be working out pretty well.  If you are trying to use just one source to track all of the giving, I would recommend using an outside source.

    Yes, an outside source for each board member.  Though at this time, we do not have many “gets,” so it is completely manageable.

  • It really depends up what you want – the board member as solicitor could give you the same thing.

  • We have all our board set up as solicitors. One nice thing about tracking "gets" via solicitations, and board solicitors, is that you have a lot of useful reports that can be run based upon the solicitor name.
    At some point we hope to have periodic solicitation reports sent directly from Tessitura to individual board members to update them on their progress, and to ensure that we are all on the same page.

  • Also, if you indeed want that donation to be added to an existing promotion in your appeal, you can manually enter the source number and this will add the promotion to the constituents record.
    Of course, this means you probably either need a cheat sheet with the promotion codes on it, or use the view source codes tool often.
