Flex Pass setup

Hello Tessiturians!  As we move toward next season, we're considering offering a flex pass subscription option (previously we've only done fixed seat).  From the brief survey I've done, it seems like the ways in which different organizations go about setting these up are pretty varied.  Do you offer  a flex pass option?  Are you happy with the way it's set up in Tess- and if so, how is it set up?  I welcome your input!  I think we have a pretty good handle on what we want it to look like from the "outside" (i.e. how it will be marketed), so I'm more interested in the mechanics of set up and sales/reservations within Tessitura.  Thanks!

  • We use Gift Certificates to hold the dollar amount of the Flex Pass and allow patrons to redeem when they want.  It is pretty complicated and I would not suggest using it.  I think once our website is set to allow exchanges, we will go back to a fixed seat Flex Pass in a dummy performance.  I am happy to discuss further if you have any questions.

    We don't use Tessitura's flex package functionality but we do offer a create your own series type of deal.

    From a customer point of view, they purchase coupons that can be redeemed for almost any show (we have some restrictions - ex. gala or fundraisers are excluded) in any available seat as of a certain onsale date.

    From a Tessitura point of view, they are sold a fixed seat subscription that has one dummy performance attached. The coupon number is the combination of the row/seat number.

    When a customer wants to redeem their coupons we exchange out of the dummy performance and into the show they want to see. We do this transaction in the same order as the original package purchase.

    We like this method because it allows us to rollover their subscription each year and we can easily see how many coupons they have remaining and what they've exchanged their coupons for. Right now we only offer coupon exchange by phone or in person. Maybe online one day but we're not at that point yet.

  • We have a "6 Ticket Flex Pass" that can be redeemed into any show. It is built as a dummy package with six voucher tickets. When patrons want to book their show, we "return" these tickets and use the money to book the performance. It takes a little bit of getting used to, but overall I think this setup has been pretty effective and successful. If you you have any more questions I am happy to share the details of how it is set up.

  • At ACMI, we have flex passes that allows a customer to purchase a quantity of tickets for a certain Production. In our marketing, we refer to them as '3 session passes'. We do this over the counter, where the operator selects the package and chooses the three performances, We will soon do this over the web with TNEW's built in Flex package functionality.
