Box Office Associate Projects?

Our box office generally has about 3 Associates and 1 Supervisor manning the box at all times. While we are furiously busy when we have shows, there is a lot of downtime in between performances. While we do run the New Account Summary reports and have them look over those, it does become very boring and tedious just doing the same thing day in and day out. We also run CSI Tracking reports and have some more advance staff do some merging. 

What are some other special project do you delegate to your associates to keep them busy but also productive? 

  • We have them process ticket donation requests (from non-profits, etc. for auctions), for one. Curious to see other answers though.

    My small team has helped other departments with projects - mostly development. My main agent processes all Devo telefunding orders, but in the past my team has helped with assembling our Board Books for board meetings, making thank you calls to our donors, sending donor acknowledgment letters while the person who does that was on maternity leave, and the general office stuff of filing/shredding/etc. It always depends on the time of year on what projects are available for them, and sometimes we just have days or weeks where I have no busy work for them so I tell them to read a book or work on outside projects as long as they're able to answer the incoming calls. 

  • Thank you all for the replies, very helpful! We're trying to find creative ways to keep our team busy without having to have them do simple busy work solely to keep them busy. We currently have them go over newly created accounts and make sure they match our data standards as well as have they regularly go over newly created promos, making sure they are functioning as they should.

    Have anyone has any ideas that you have not been able to put into practice just yet that would also be helpful. I am going to talk to our Devo department to see if there is anything we can be assisting with.

  • I have my associates answer phone calls exclusively while my coordinator and I continue to do back-end work. Also, I am about to start an inside sales campaign, so they are calling subscribers. I also have them search for duplicates and clean up CRM (for the more seasoned PT staff)
