Constituent Notes pop-up

Hello!

There is probably a very simple solution to this, but I am looking for a way to add constituent notes that will "pop-up" in the ticket order details screen.  I am not looking at adding notes to the ticket order itself (notes field), but only when a constituent's information is added to a new order, a pop-up notification that is based on the constituent itself and not the specific order.  Does this make sense?  

I am in a unique working situation where I work in multiple ticketing databases, and I noticed that when I use Archtics (Ticketmaster), there is a way to add notes (Hot patron, high donor, special seating requests, etc) that pops-up when I add that particular patron to a new ticket order.

Does this make any sense?  Any thoughts on how to do this in Tessitura?

  • Hi Beth,

     

    You could add a constituency type to the patron through the attributes tab. Then when they are added to an order, the three letter code of the constituency type will appear below their name and constituent number.

     

    You could create a message only pricing rule that fires based on a Tessitura list, attribute or constituency.

    Hi Jerry,

    Thank you for the suggestions!  While the constituency type is helpful, the box office sellers have to move off the order details screen into the patron's account to see what the constituency type is about or even to see if a CSI was created for that particular patron/constituency type. This adds time to the sale that I am hoping to avoid. 

    My hope would be to create a quick view on the order details screen of a note that is associated with the patron and not a ticket order.  So in essance, a pop-up window of a CSI without having to actually go into a patron's account to view the CSI.  Does that help clarify?  

    I am intrigued by the pricing rule suggestion, and will explore it more.  Thank you again!

    In looking at the Pricing Rule Sets and Set-up, it appears that these rules are meant for multitudes of patrons (donors, hot patrons, VIP’s, etc) across a certain constituency/demographic.  Is there a possibility of adding just one pop-up window for one specific patron?

     

    For example, we have a staff member who orders/renews her parents’ season subscriptions every year.  While not tied to a specific order – no need for an order note – it would be nice if every time this staff member’s parents call into the box office to order tickets, a window pops up telling any BO Operator that these patrons are “X” staff members’ parents, and to not mention anything about renewing their season tickets (as they tend to panic about it, thus panicking this particular staff member). I would just need one pop-up window for one patron.

     

    While we do train BO Operators to look at the attributes on a constituent order, they do not always go into the constituent’s account to see if there are any CSI’s or Research Notes or History to be aware of before continuing with a sale.  Does this make sense?  In Ticketmaster (Arctics) you can pull up a patron’s account into the actual sales order, and click on a pre-determined colored button near the patron contact information that contains vital notes about that specific patron.  No need to click off the order, or click on other tabs…

     

    Sorry to compare – I love Tessitura, but I am trying to figure out if this is something that is pre-built in Tessitura or if it is an enhancement request.   Any suggestions or advice are welcomed!!!

  • We have a handful of patrons that we have in a list (of which a list could be 1 or as many as you want). Then the price rule constituent criteria sends a message for just those patrons in that list.

    If you use an InfoMaker custom header, you could use tooltips to have a pop-up window which shows the information from a CSI, research note, etc... when the mouse hovers over a specific box in the header.  You would need assistance from a database person for this solution, but it can be done without too much difficulty.  I believe there are some good presentations that you can find on the subject around the Tessitura website from previous conferences that should have most of the information.

    Hi Beth, We create CSIs for individual patron issues, add an Action which we call Attention, and that triggers a highlighted Read CSI flag that appears in the constituent header. Not as handy as a pop-up would be as they have to pop into the constituent record (Ctrl+G) from the order, but it works pretty well. I don't think it's hard to create a flag - our database admin does that piece. Judy
  • Hi Beth,

    We use Tessitura's Flex Headers for our constituent records. One of the elements that we have in the header is a warning icon. Very noticeable. This icon shows up if there is an open CSI on the constituent record. It does mean there is an extra step to go into the constituent account but it is something very noticeable that prompts that action when we are speaking with customers.

    I don't think there's anything built into Tessitura to do exactly what you're looking for. I would suggest sending in an enhancement request.
