Hello Fellow Tessiturians!
We are new to Tessitura and are just starting the implementation process. We will be on RAMP so we will have the hardware tokens. The tricky part is we have two locations that are roughly 5 miles apart from one another. Our Box Office Reps work both locations and have a varied schedules due to the event schedule (IE: A CSR may work at our Mainstage venue Monday and our Downtown venue Tuesday). Because we are a smaller organization we do not have a supervisor at both locations and currently CSRs working at our Downtown venue do not come by our Mainstage venue before starting a shift. My question is are there any other organizations with a venue/Box Office that is farther than walking distance to the main venue/Box Office and if so how do you handle token management for your staff and CSRs?
I would also be interested to know if you have all of your staff sign a waiver or require them to pay for lost/damaged tokens.
Thanks in Advance!

Hi Daniel.
In my previous organisation (Sage Gateshead) we were on RAMP and we had all our staff sign a waiver outlining they wouldn't share, damage or misuse their tokens. We didn't charge the individual but the department if one was lost (only one over a year of 90 users). We did have a separate venue but it was just up the road, I can't remember the exacts but I believe a supervisor came to the main building first. You would have to check that part with the Ticket Office there.
Thanks
Kelly
At the time of hire, our Box Office Associates sign a company property return agreement, and the token is one of the items listed on the agreement. The agreement states that the associate will follow all company policies regarding the use, care, and safekeeping of the items, etc.
We don't currently have associates working in multiple box offices, but the rest of the Tessitura users in our organization who move from place to place tend to keep their token on them at all times, either on a lanyard or on their keychain. The rest store them securely at work (i.e. in a locking drawer).
Daniel,
We operate 3 locations and are on RAMP. Staff is issued a token “fish” when they are hired and they are responsible for it .
They sign a form indicating that if they lose their token, they will pay to replace it.
We have been on RAMP since May 2013 with 9 organizations and over 150 users. Have only had 4 staff lose their tokens.
Good luck

Thanks for all of the responses guys! This is what I was looking for. I think I am just going to have them sign something saying that they are responsible if they lose it or do not return it.
Thanks again!

We have users at multiple locations. Our call center has about 10 tokens that we rotate as new employees come in but they remain at the call center. Our BO has a spare token and all their tokens are kept at the BO. Users at our main offices either leave their tokens at their desks or keep them with them.
Knock wood, so far we have been pretty lucky in terms of lost tokens. Only one was attacked by a cat, or possibly a two year old, neither took responsibility. That token still works but we replaced it for the user.
We don't have anyone sign anything for receipt of the token. It is treated just like any other technology equipment. I do have an Excel spreadsheet on which I track who has which token, where the tokens are, and what parts of Tessitura they have access to.

Hi Daniel,
We are a RAMP site. Although the theatre is only on one site, we also have an agency who log directly into our Tessitura system using the 2 factor authentication via a fish token. The agency take responsibility for the tokens they have been issued with, our staff sign an agreement which includes all the theatres equipment.
I also keep a spreadsheet, which I update once a month, to track all the staff changes including who has which token. We rarely get any lost or damaged tokens, but we just pick up the cost of a new one if anything does happen.

Hi All,
Following this thread as I am interested to know what language you all use with your Token Agreements for your staff to sign. If you don't mind, could I see examples of your current token agreements? Please send to beth@broadwayrose.org. Many thanks in advance!

Hi Beth,
I tried to send you ours via email but the email bounced. If you look at the thread here http://www.tessituranetwork.com/Community/forums/t/5267.aspx
Look at the post from Jared from Utah Symphony. He has a link to his there and our form is very similar to that.
Thanks,Daniel
