Early Subscription Renewal Best Practices

We are offering an early subscription pacakge renewal to patrons but will not have our season built in time for the offer. I'm looking for recommendations about where to temporarily store the money in Tessitura until the season is built?

  • Quite honestly, the easiest thing you could do is put the money to an "On Account" payment method. You could set up a special one specific to this early package renewal. That way you can reports on that payment method. Setting this up for web sales may take some modification but it could, conceivably, be handled the same way as on account money is handled for web donations.

  • You could probably set up a dummy event that you can delete when your packages are set up. You’ll just have to make sure that your start date for your package goes back to the date the dummy event was set up for.

This way you can retain all the information on the transaction; order date, actual payment info, initiator, etc.

  • Hi Joseph,

We're in this situation every year. We don't know shows, dates etc. We essentially build a dummy season (only need one performance per sub package, no need o build entire season) and roll into there. We process all renewals in the shadow season. When we have the real season info, we roll from shadow to real.

Happy to talk you through this more if you decide to go this route. Hope this helps.
