Hello All,

I wanted to ask  those that bulid and set up the season, shows, offers, price-types, Pricemaps,  fees, GL, etc...how many workers do you have doing this, how many shows in your season, and how many seats does your facility hold?

  • We have one person who does the actual setup of 12 shows that run in rep in 3 theatres (including one site-specific play that's a new experiment this year where the audience travels to multiple locations for different acts or scenes of the play.)  One theatre holds about 1200 people, another about 600, and between 200-350 in the third theatre depending on seat configuration (the seats can be moved to accommodate a production.)  That person who sets up the season uses technology written by our IT staff to populate the production's performances within a season based on a manually set up 'template' performance.  Then the process of double checking includes 2-3 people  looking at setup from different angles (i.e. reports.)

  • At Cal Performances we have 5 main venues, and this season we have 57 productions and a total of 111 performances in our presentation season, as well as 67 productions/89 performances of rental events.  All production elements are set up by the Box Office Manager, with the assistance of a custom report that helps automate the process of spewing out the unnaturally large number of price maps that we use.

    I think she likes to reserve about a week for setting up our presentation season, especially as I think there's a fair amount of consultation on that, while rentals filter in throughout the year.
