We are new to the Tessitura network and are trying to figure things out. I would like to pose the question to ya'll out there for some guidance on how to proceed.
Before each of our performances in our local newspaper, we hold a draw for free tickets to the upcoming show. People answer the posed question and send in their ballot with all their contact information on it. After the draw is done we receive these ballots from the newspaper and filter out those who do not want to be contacted regarding upcoming events and keep the ones who are open to these event notifications and marketing.
How can I imput these names into Tessitura and track them as participants of this draw. Is a source the way to do it or is there a better way?
any guidance would be appreciated!
We have some constituencies that we use to pull names that we collect as “prospects” – for our organization we use the three branches of the company to delineate “Theater Academy Prospect,” “In-School Education Prospect,” and “Children’s Theater Prospect.” In other organizations for which I’ve worked, we have just had the one “Prospect” constituency. I also have gotten into the habit of creating an attribute called “Marketing Source” where I can track exactly where the names came from.

If you have CSIs set up, you could track them in a CSI. Have an activity type that matches the promotion and then a CSI report that you could run to grab those people. It might take a custom report, but it can be done.
What about creating an Original Source of "Newspaper Drawing" or something similar? We use one called "Outside List" for names that come in from outside sources. Another option would be an attribute. You could pull lists of these names using either in addition to Constituencies as Patrick mentioned.

We use attributes for ticket drawings. We name each such attribute starting with the fiscal year.
We had a major event where we had a drawing for 2,000 tickets. We used a specific attribute for that event, with the following possible values:
· Winner
· Applicant
· Applicant-Duplicate Address (for more than one member of the same household)
· Won-Refused
· Won-No Response
· Ineligible
· Late
This has allowed us to pull lists easily for specific subsets of the response group. We even set up some custom programming for our web site that allowed the use of certain promo codes only to those accounts that contain the correct attribute. This allowed us to “sell” 2,000 comp tickets online in a very short time period.
For other ticket drawings we’ve just used Applicant and Winner.

We use CSIs with an Activity type for this function. It gives you good flexibility when running extractions so you can create segmented sources and to see how well this group responds to a mailing or offer.
