Names from External Lists and Mail Restrictions

Hi Tessiturians:

This question is for those in the community that acquire names from outside sources for mailings: where do you record any individuals who request to be removed from the mailing list after a mailing?  Do you maintain an independent file of these names for suppression from future mailings or do you add the name into Tessitura and mark with the corresponding mail restriction?  We currently maintain a separate file with the thought being that it isn't ethical to add a name to Tessitura that belonged to an outside source.  However, as time goes on the separate database becomes outdated and those individuals are forever suppressed from mailings even if they become a patron of our organization down the road.   If you maintain a separate file, for how many years do you keep names on that list?

    If the patron contacts us directly and asks to be kept off our mailing list, we enter them in to Tessitura with all the proper ‘do not flags’. We pull our ‘do not’ list and run it against any trade lists through our mail house each time which hopefully keeps these people off if they are traded again. From an ethics standpoint we believe that if the patron contacts us with their contact info and says ‘take me off your list’ they are initiating a transaction/relationship with us – similar to if that same patron called and purchased tickets so we’re not in essence poaching on that traded list. And really, we’ve found that as long as we stop mailing us, they are happy and don’t really care how it happens.

     

    The only danger is accidentally pulling someone for a mailing, but as most of these have no ticket history that’s not a problem, and for those that do the risk is no greater than any ticket buyer being pulled who has asked to not be on our mailing list.

    When you enter these names in Tessitura do you mark them to know they were form an outside list with an original source or attribute?

  • Yes – we have an original source we use. Oftentimes we find the person is in our database from an old show or the like and in that case we don’t do anything but update their mail preferences.
