Payment Method GL Codes

Hi,

My Finance department have asked me to integrate Tessitura and our Finance package, so that nightly Tessitura can automatically run a journal to help streamline processes and save time.

This didn't seem to be a problem until I ran into a restriction on the GL codes used for the Payment Methods.  In the v10 documentation it states that a seperate GL is required for each Payment Method, however v11 only states that it is recommended.  I spoke to our Finance department about having seperate GL codes for each payment method to enable more granular reporting, however it is a fixed requirement they go into the same GL due to software restrictions in our finance package.

Other than a loss of detail in reporting, are there any other repercusions in using a single GL code for payment methods, or is it even possible in v10?

    I'm not sure what document you're referencing but the vast majority of our payment methods have the same Asset GL # (cash, check, and credit card all go to the same income GL) and this has been the case since we went live with Tessitura in 2008.

    Hi Simon,

    I just double checked the v10 documentation, and it doesn't say that separate GL accounts are required for each payment method.  In the planning section it does say that a unique payment method is required for each unique payment GL that finance wants to use (i.e. if you wanted to use a different GL for ticketing payment methods and development payment methods you need to set up separate sets of payment methods to match the GLs), but if finance only wants to use one GL for all payment methods, then that is fine.

    Just thought I'd drop a quick recommendation for a discussion session at the conference in San Diego this year titled From Tessitura to Your GL: Minimizing the Middleman. It would be great to have someone from your organization in the room if you have people attending.

    Hi Ryan,

    That session is already on my short list of sessions to attend, if I don't attend myself sure my FD would like to.  The other session I'm quite interested in is "Implementing an Automated GL Interface".

    Looking forward to the conference this year, going to be a good one!

    I'd be interested to know what Finance package you are using and how you get on with the integration.

    We are due to go live with Tessitura in November and would like to look at integrating with our Finance software (Sage 50) once everything has settled down(!)

    We have many payment methods all going to the same GL in version 10, so I don’t know that it is a problem within Tessitura.  Any granularity we need on payment methods, we get out of Tessitura as we consider Tessitura our sub-ledger.  Our Finance software, Great Plains only has Tessitura posting numbers to help us, no additional detail.  However, we don’t actually automatically upload, we do it as a manual entry so maybe that’s the problem?  Would love to know more, we too are interested in the integration.

    Hi Mike,

     

    Our Finance software is Great Plains. Tessitura downloads to GP every night. We do not get the detailed information that I would like however it is an easy integration.
