Tracking committees

I'm curious - does anyone use Tessitura to track committees?  If so, how?

I'd like to create dummy records representing each committee - I believe it would be more centralized and easier to maintain than an attribute, and would potentially allow for additional information and data regarding the committee to be added under the committee record itself.

    Not sure if this is what you're asking exactly, but we have committee accounts in v11 for tracking members of those groups. We have separate org accounts for staff, board, committees - even or different usher crews (we use 7 different venues) - and the members are all "associated" to those accounts.

    The start/end dates make it really easy to manage that type of info, and certain positions get titles. Then we have lists pointing to those relationships that then dynamically update when someone's term ends. The association is also viewable from the search screen (if you have that option checked) which is nice.

    Also, we auto apply constituencies based on these relationships, so there's an easy flag to see if someone is a board member. As I tell our staff, the constituency is merely a flag - the real committee information lives in the relationship tab.

    I hadn't thought about putting "other info" in that committee record, but I suppose you could. What additional info were you thinking of?

  • Yup! That's how I did it. Each committee has a record (and a constituent type of committee to be able to suppress them easily) and then you can affiliate the individuals to the record and even have officer titles. You can also attach agendas and meeting minutes to research documents or even track meetings in activities. I think you can do as little or as much as you want with it! 

  • Berkeley rep also set up a special constituent type to track committees, and we use activities to track attendance at committee meetings.  We currently have two challenges:

    1) Not everyone is good about entering attendance information into Tessitura

    2) Some custom reports we set up to report on attendance now need to be re-designed to accommodate V11 changes.

  • We are on v11: If the committee is a subset of our organization, we use Constituencies in each of their records. We could also create an affiliate type and affiliate them to our organizational record.

    If the committee is outside of our org, sometimes we will create a record for that entity (with an address) and then affiliate the records of those on the committee who are within our database (adding records for members of the committee as necessary).

  • Our board of directors and several committees are separate group accounts to which members are affiliated. The board account is also associated to our main company account. All board and committee accounts are a separate customer type called “boards and committees” to allow us to keep them out of mailings, etc. This works very well for tracking board and committee membership because the relationships have beginning and end dates, room for a title, and a place for notes and comments.

     

    We have an update procedure that runs frequently and assigns constituencies to board members based on an active affiliation to the board account.
