Communicating sponsor logo placement from Dev. to Mktg.

Hi, all,

I am wondering how other organizations use Tessitura to communicate from Development to Marketing which print materials and emails need corporate sponsor name and logo placement. We have sponsors for the full season, as well as sponsors on specific plays. Depending on their level, sponsors have been promised name and logo recognition on our materials (e.g. press release, ticket stock, billboards, print ads, marketing emails, direct mail, program ads, etc.)  We’re looking for a foolproof way to make sure every single piece of communication includes the recognition we have promised! 

Taking into account the old saying “if it’s not in Tessitura, it didn’t happen,” how can we utilize Tess to build a reliable system for fulfilling promised logo placement?  Ideally, Development staff put the information into Tessitura (which show, color logo vs. black and white, etc.) and Marketing extracts that data. However, not all of our Marketing staff are Tessitura users. Perhaps a scheduled report gets emailed to the appropriate Marketing staff on a regular basis?  I welcome any and all ideas!

  • We are in the process of implementing a corporate sponsorship model in Tessitura. The current plan of action is to use Plans and Steps to accomplish this. We would like to track all of the benefits attributed to a sponsor and have it reportable, which Plan/Step reporting should be able to do for us.

    I don't have many details at the moment but will be taking a close look at the plan of action over the next few weeks. If you'd like to hear how it goes then feel free to reach out to me offline.

    We're working on getting our Corporate Ducks in a row at the moment.  Wondering how you went with this Benefit tracking?

    I'd agree that Plans would be the way to go with this using setting up Corporate Asset as a Step Type and scheduling the Step Detail report with this (and/or attaching Marketing as a worker if the do use Tess).  You could attach the logo to the Plan step but of course marketing would need to be using Tess to get it from there (unless you customise the report)..

  • Hi Heath,

    Yes! We ended up creating a Step Type called "Corp Sponsor Recognition."  Our Corporate Giving Manager enters a Step for each promised item into the company's Plan. The Worker for each Step is the Marketing staff member who handles that particular item, regardless of whether or not that person is a Tessitura User. Our Database Administrator built a custom report that pulls all Steps with the "Corp Sponsor Recognition" Step Type.  The other fields included are Customer #, Company Name, Step Description, Worker, Due Date, and Notes.  It's initially sorted by Due Date, but can be sorted by any of the other fields as well.

    This report gets emailed as a PDF to the entire Marketing team every Monday morning, scheduled through Tessitura. They seem happy with it so far! It's not perfect yet, but it is much better than the previous system. It's a great way to track everything in Tessitura, while also reaching the non-Tessitura users who need that information.
