Order contributions made to campaign with no acknowledgement rules set up

We have a situation where order contributions were made to a fund/campaign that did not have acknowledgement rules set up, and therefore these contributions are not coming up in the Print Acknowledgement Letters report.  Is there a way to retrospectively add these order contributions to the Print Acknowledgement queue, or will we have to manually create acknowledgements for them?

  • Here are my $0.02.

Try testing this out in your test system first. I'm not near a computer with Tessitura running right now. So I can not check this.

    1. Add the needed acknowledgement rules.
    2. Here is the key point, that I have not tested. You may be able to open these contributions in the contribution editor. Even though they were created in an order.
    3. If that works then Add the acknowledgement in the contribution editor.
    4. Re-save the contribution.

This could work if there were a small number of contributions involved.

However if we are talking about a large number of contributions, this could be done by a DBA.

I'd suggest that your DBA open a task ticket and discuss this with support to make sure that all of the needed updates are covered correctly and that you test in your test system first.

  • Hi Sarah

As these are order contributions you can only return them from the order (zero them out) and then reprocess them and the confirmation will attach. You can’t adjust them in Contribution Editor

    Another option …

You could try adding the appropriate row of information for each contribution to the T_ACK_EXT table which is where the Print Acknowledgment Report draws its data from.

This would probably take as much work as creating manual acknowledgments for them, but you would have the benefit of having an acknowledgement registered within Tessitura and using the tax receipt counter.

Of course try it out in Test first!

    Cheers

    Sandra

  • Hi Sandra,

Your idea sounds great, but I've hit an issue with the ack_no.  Regardless of what I set the ack_no to (or if I leave it blank) , the next actual contribution made through Tess will have an ack_no that immediately follows the last contribution made through Tess.

Our ack_no's don't start from zero, so I could use a set of numbers that precede those already in the table to avoid duplication, but I'm wondering if that might cause other issues?

    Cheers
