Activities option to track the invitees and attendees of non-paid events.

Hi, everyone!
In recent gatherings, I have heard that many of you are using the Activities tab and associated utilities to track/manage not paid events such as free virtual webinars. What is the advantage of doing this over creating the usual performances?

Thanks!

  • Hi Janis!

We use Activities for a few things but the one thing that is common with them all is that it doesn't make sense for people to register via TNEW or one of our staff in Tessitura in these situations. For example, we are doing virtual webinars via Zoom and are having people register in Zoom to get the link. We didn't want people to have to register in Tessitura and then register again in Zoom. So a performance doesn't make sense because we'd have to register each person ourselves after they registered in Zoom (if we didn't make them do it themselves). After the webinar in Zoom, I take the list of attendees and use the constituent import utility to get any new people in Tessitura and then save them as a list. I also find those that are already in the system (the import utility will alert you to duplicates before pushing it out) and save them to another list. I can then use the Activity utility to push out the activity to all these accounts, showing that people attended. You can pull lists on activities, so you can still get a list of attendees.

We also use Activities for things like our staff holiday party and the gala we (usually) hold for our upper level members. Both are free. It is easier to have staff just email us their RSVP and our development department likes to be a bit more formal about the gala, as well as making it as easy as possible for our highest donors to let us know they are attending.

I hope that helps. Let me know if you have any questions.

  • Anne, this is amazing information.
It is so kind and thoughtful of you to take the time to explain it all.
I will follow up with you, one on one.
    With thanks,
