Transitioning our Volunteer Management from Volgistics to Tessitura

Hello! Can anyone offer some feedback or advice as to where to begin in order to transition our volunteer management from Volgistics to Tessitura?

Thanks!

I cannot help with this but am also interested in learning if anyone has made this transition from a volunteer management system (we use Volunteer Impact) to Tess. From what I've seen, it would be difficult to do everything we do in our VMS in Tess but it would be amazing if it could all be in one place!

  • We were working on a custom build for volunteer tracking when we shut down in March. There isn't an out of the box way to do it, unfortunately. We stopped our project due to budget constraints (and we haven't brough volunteers yet). was working on the project with us and might be able to offer some insight.

  • We are trying, for the first time, to have volunteer usher sign up as a performance online to make your reservation. They’ll get e-confirmation and print at home email. We’ll scan that barcode to track attendance. We don’t have any other volunteer opportunities.

  • Hello there! The standard functionality for managing "workers" (volunteers, staff, etc.) is through Resource Scheduling. This feature was designed for booking-based worker assignments, such as volunteers assigned to a field trip group. We have a great video series called Basics of Education, and the segment “Part 6: Scenario: Field Trips” shows exactly how Resource Scheduling works in that context and how to set it up. Additionally, when we released this feature in 2017, we created a much longer webinar with more details that may also be helpful.

Anne mentioned a custom solution -- we have certainly created custom solutions for managing volunteer shifts outside of bookings, such as volunteers who are stationed in galleries, doing office work, staffing the information booth, etc. You can email hello@tessituranetwork.com to get a quote if you're interested.

    Thanks!

  • I’d love to use resource scheduling if I could assign a worker to a production, not a specific order. We’d like to book tech crew, ushers, etc to a performance time.

  • Hi, Shelley! This looks like an easy way to try it out, without being all in. We also have only one volunteer option in our galleries now. Please do share any other information you think of. Have a great day!

  • I haven't had to transfer, but can the system export into excel and then import into Tess? Are you trying to create new ideas for all your volunteers in tess?
