Hello DB friends! Can any of you share best practices for new contacts garnered via the exchange of business cards? With our leadership team traveling again, they are gathering various business cards of potential prospects, partners, sponsors, members, etc. I'm looking for some great ideas to get the business card data in Tess and to have a process where these contacts are presented back to our leadership team periodically for next steps. Wondering if anyone out there uses software or equipment to automate the data collection and/or uses the Plans module to keep track of it all. Thanks in advance!
I implimented a Executive and Programming Plans Campaign for the ED and AD when touring to look at scoping international tours 2+ years in advance. We had good buy in, and Exec assistant that was amazing, and a couple of custom things I did that help but are not necessary (ie: the Plans/CSI reminders that email you when they are due).
Doing it from email is aok especially when they are on tour and in the moment. If you want to make business cards entry easier, phototgraph them in a column and use Google images to convert them to text.
We don't have any automated solutions, and we do not use Plans (for this). Helpful! Sorry. The contacts we keep in Tessitura are for our PR department, rather than artistic leadership, but we do have a few things we do to handle them differently from other customer accounts, and this is important because the person in question might well also use that account as a normal customer, so that needs to be possible, you just need to be sure that when they need to be treated differently they can be.
Thank you so much for the suggestion! I just tried out the Google Doc text idea and it worked for me just fine! Out of curiosity, how many cards do you find that you can stack in a column...as many as will fit in the photo frame? I also like the idea of the special campaign for this use. I'll give this a try!
Thank you for your suggestions! Constituency and Attributes are a good idea...can you share with me the constituency code and description and attributes that works for you? Would love to glean great ideas!
As I said, the PR department uses this, so the Constituency is just "PR Contact" (I think, don't have Tessitura up) and the Attributes are for job role (editor, columnist, blogger, etc.), media type (TV, radio, magazine, etc.), genre focus and I think region.
