Fulfilling Subscription Renewal Forms

I was wondering if anyone is fulfilling their printing of the subscription renewal froms via a data file and soem form of mail merge to produce letters, either in-house or out-of-house.  I hope to learn more about how you accomplish this: from getting the form designed, getting the data out of Tessitura and producing the form.  Also, if you do this out-of-house how do you fulfill re-print requests from constituencts?

  • Our in house graphic designer creates the design.  I created attributes with subscription details because the majority of our subscriptions are flex packages that don’t create rollover orders.  I pull the attributes through an output set and save as Excel. Then it’s a basic mail merge from there.

    We also have our graphic designer create a form template, which we then share with our mailhouse who prints the actual renewal invoice forms for us. Marketing provides segmentation to our database staff, which is appended to the rollover information along with the Development giving ask scenarios and amounts. Our database staff person combines all of that information into a file, which our mailhouse uses to merge information to print on the forms.

    For reprints, we do have a report in Tessitura that generates a somewhat simplified version of the regular renewal invoice.
