Having gone to the great sessions on Promo Codes at TLCC, I wanted to poll the hive mind to see how managers are getting relevant Promo Code information to their front line staff so they can effectively apply discounts and track sources.
The beginning of our season always starts out with a few basic promos that typically apply throughout the entire season and are easy to remember. But as we move through and especially in the lead up to a production, the flood gates from Marketing open up and it turns into the Oprah giveaway of promos.
We have done One Note pages via Teams which works....ok. Promo requests get input into a shared Excel file, but that file has a lot of setup information that our front line staff does not need to see.
Ideally, I would love a way to share the promo's start and end date, target audience, which purchase paths it is redeemable through, valid performance(s), Price type that is used, Promo Word/Source #, as well as any restrictions on use. Bonus points for a system where I could enter these details somewhere and the front line staff view would get populated based on start and end dates of the promo (add and fall off as promos activate and expire).
Any and all ideas would be so very welcome! Thanks!

We have a Google spreadsheet that is a central location for all promo codes throughout the season - even expired ones. Start and end dates are included so if a patron calls in talking about an old promo the rep will still be able to see what they're referring to!

This is definitely something I want to do once I find the best way to aggregate them all!
We use the "Sales Notes"/"Info Button" for promo codes. We just put something like this: "XXXXXX" (11111) - artist presale, 5/22 10am to 10pm, limit six tickets
Where "XXXXXX" above is the promo code and 11111 is the source code relevant for it. Then, when the Box Office staff are selling to that event, they can just look up the promos for that event by clicking on the "Info Button".
