How to "Hide" Past Performances in Ticketing Set-Up?

Hi. We have about a year's worth of General Admission performances currently sitting on our "Maintain Production Elements" pages. They go back to when we first got Tessitura in July up to end of this coming April. The list is so long now that it is hard to keep track of. Is there a way of "hiding" those past dates without fully deleting the performances? We will need to go back and pull data or adjust certain things in those performances, but not often enough for them to sit visibly on the list for all eternity. A "Hide" or "Deactivate" function would be great. If someone knows how I'd appreciate it.

We’ll post our findings from that ticket in this forum as well, but if you have any other questions or concerns in the meanwhile please let us know.

  • You can enter publish dates in the build for the client, which will hide the product from your product catalog for your staff, and you can also enter publish dates for the web, which would hide the events from your website, without deactivating them.

  • I am not so worried about the Product Catalog or the website. What I want is for the giant list of performances in our Ticketing Set-up, Production Elements sections to go away. I just hate having to scroll through all of 2022 just to get to the 2023 ones I actually need.

  • Do you have your active only button clicked? It's located on the lower left of the ticketing set up screen.

  • The problem is they are all currently active and I don't know how to deactivate them.

  • You can use the "active Only" check box found at the bottom of the page for each tab so you only see seasons that are still active.  This is explained here from the documentation with the following note:

     

    By checking the Active Only box at the bottom of the screen, only productions associated with at least one active season are displayed.

     

    Active seasons are managed in the tr_season system table which is explained here.  Please let us know if you need anything else.

  • The problem is all 365 or so performances are listed under an active season. I can't deactivate the season without deactivating everything. Currently our GA set-up is as follows: 

    Titles = General Admission, Productions = General Admission, Production Season = General Admission (Season: FY23 General Admission), Performances = ALL of our GA performances. 

  • I think I understand - you're saying that when you go to edit a performance, you have to sift through everything in your current season/prod season to find the one you need?

    In my org's first year and two of Tessitura, we had to go back in to make edits relatively frequently. But as the processes have been worked out it's pretty rare (we're in year three now). I try to avoid going into individual perfs, since it just increases the margin for error. If any edits need to be made, I use Season Maintenance under Season Manager, if possible. It's so much easier to search and sort, not to mention make bulk edits. Otherwise, it's a matter of sorting the year's worth of perfs by date, to find the one I need. 

    That's not much of a solution, but maybe it's helpful. 

  • That's exactly it. If I need to add a different price type to a particular GA performance, I have to scroll through 300+ of them under Performances in Production Elements to get to the one I needed. I would love for their to be a way to hide/deactivate the single performances that have already passed without having to deactivate the whole season. That way I might only have 150 to scroll through instead of 300. 

  • Is there anything specific in the performance names/codes/etc... that could work as a search term?  While we certainly do not have the issue you have, we still have a number of performances, and I RARELY scroll but instead just hit the search box to find the one(s) I need.

  • Did not realize there was a search bar until you just mentioned it. Thanks John! That will help a little bit. My other issue is that when building performances, I copy the one directly before to create the new one. Example: In Performances under Production Elements I highlight today's performance and copy it to create tomorrow's (changing the dates and perf codes properly). Would searching still work in that case? Or is there a better way to bulk input a month's worth of performances? 

  • Searching definitely can work to drill down and find individual events, and, depending on HOW you search, you CAN search for and copy a performance.  I think it is dependent upon whether you just go to the performances tab right away or at least start by going down through Title, Production and Production Season to get there.

    But as far as creating bulk number of events at once, I believe this is what you want:  Product Creation Utility.  I have never actually used it myself, but my understanding is that it is a very handy tool for museums in particular to mass create a number of events all at once.  Sort of like the Season Maintenance that mentioned above but for creating events instead of updating them.

    I would suggest playing around with that utility in your TEST instance to figure out how to best make that work for you as it might require some planning.  But I would have to believe that there would be some way to use that to make your product creation easier.
