How are promo codes being managed/ controlled at your venue? And, are you finding that promo codes are being shared broadly to those for whom it was not intended?
Many thanks,
Laura
Not my current venue (we pretty much never offer discounts), but my previous venue: either the box office manger (me) or my assistant manager would create the codes at the request of a member of the marketing team, or a team lead. The marketing team knew consistently what information we needed, so I didn't make them fill out a form, but for everyone else, I did have a basic form that I had them fill out so we were sure they knew exactly what they wanted to be able to accomplish with the code, and so that we didn't have questions about it.
I made cheat sheets for the box office to use, and gave simpler versions to all staff members. It was generally understood that you didn't give out promo codes to the general public, but we would sometimes make exceptions for donors or very specific reasons.
Does that answer your question?
Thank you! It is very helpful. Did you find that the promo codes were being abused in any way (outside of your staff)? So, for example - was there ever concern that people who had received a special promo were sharing it with others that may not qualify for it?
The only time I really saw that was around Black Friday (our biggest sale of the year), however that time of year, we are really offering the discount to anyone, and we prepare for that eventuality by creating a promo code just for people who heard about the sale, but didn't actually have a code for it. We never had a particularly large number of people for that.
As a whole, I'd say that it wasn't a problem for us, but I do think that would largely depend upon what type of show it was, and where the show was located.
Like Jordan we used to have cheat sheets. We use Google sheets with tabs for different productions. Protip: You can also link cheat sheets into you in client help menu
We very rarely see shared promos here even though we (embarrassingly) use the same codes every year! And the discount is significant.
Oh, putting a link in the help menu is brilliant! I used to have one in the custom tab for the product reference guide.
Jordan and Heather, would either of you share how you linked cheat sheets in the help menu? Sounds great!Stephanie TrembleyCourtland Fitch
I've never linked to the help menu, but I'm betting Heath Wilder did it with the help of this documentation and the related links: https://www.tessituranetwork.com/Help_System/Content/System_Tables/TR_HELP_LINK_CUSTOM.htm.
I made info available in custom tabs. The documentation can be found here: https://www.tessituranetwork.com/Help_System/Content/System_Tables/TR_CUSTOM_TAB.htm
Happy to help if I can on that.
*Swish* that's it Jordan Edwards
