Perf Code Format

Hey All, I'm trying to figure out a standardized perf code format for rentals in our spaces. The Smith Center is a new organization, however, I have been using Tessi for quite some time. Although, I've not been at a place with as much rental as we have....as well as having a jazz cabaret, black box studio, and park setting for outdoor performances. I've got a perf code setup that is pretty much the standard I have seen almost everywhere. My struggle is figuring out codes for rentals and those other spaces. I was thinking it would probably be best for those to just use a two letter code that is for each space and go from there. We also have meet & greets and such. We are in the initial stages of set up and want to have some "best practices" to bring to all involved so we have some options. Thanks all for any advice you have. Chris

    We have a standars across all our performances, which links back to our GL codes so everything is linked from Artifax to Tessitura to our Finance system.

    We use the first two digits of the year, followed by two letters of the Promoter then two letters of the show (for our event codes in Artifax and the GL codes) and then add an incremented number to the end of this for each show.

    e.g. A run of 3 Eric Clapton show promoted by 3A would be 173AEC01, 173AEC02, 173AEC03

    It works well for us as it's standard across all shows regardless of which space in the building they are in.

    For ancilliary procudcts we also have a standardised set up, car park is 17CAUG01 and restaurants/bars are 17ERAUG01 with the two letters being the restaurant or bars we're selling in.

  • Hey Caryl, Both Michael Sampson and myself really wanted to put the year at the front end of the perf code as it would sort everything in the drop down by the year the perf is in. Our bigger problem is we have 4 performance spaces that could all have something happening on the same day. Concurrently, we will be selling education classes, education shows, and a plethora of other things and I just want to make sure I have a good plan in place. Although I'm not new to Tessi or The Network, The Smith Center is and I want to ensure that as we onboard Tessi, we are putting in clean data that makes sense and will stand the test of time. I'd be interested in offline chatting this through with you more. I need to get some test data into our test environment so our staff can start playing around with Tessi. On a side note....I'm sure I'll see you at TLCC. :) -Chris
