Dear Forum Users,
We are trying to find a new and convenient way to track actor and musician comp tickets at the Broadway Rose. At the moment, we hand out comp forms to actors who are instructed to turn in the form to receive their tickets. This gets confusing, especially if the actor wants to have their family members call in to book the comps, loses the forms, etc.
We're trying to figure out the easiest way to re-vamp this system and track the information in Tess. Upon reading the forums it seems like the most common suggestions are
- Setting up Dummy Perfs in a GA Hall and providing tickets to this perf to our actors who can then exchange them for the show of their choice.
- Issuing Gift Certificates for $0.00 so the specific GC code can be used to redeem comp tix (I am not even sure if it's possible to issue a GC for $0.00)
- Using a combination of allocations, constituent types, and promo codes to allow the actors to book their own tickets online (not sure if this will be an issue because we only allow the comp tickets to be used in certain sections of the theater).
If anyone has experience with any of these ideas OR has any other suggestions that you think could work, we would greatly appreciate it.

We have a few different ways that we handle comps, aside from paper forms.
1. This one will probably better suit your needs. We give a promo code to handle a unique situation of offering comps and discounted tickets. The price type for the comp is limited to only 1 (although if they are sneaky, they can put another order through) and we even named the price type, Comp, LIMIT ONE. And the discounted tickets are available in the same mode of sale. So as long as they have the promo code, they can take care of getting their comp and discounted tickets all at once over the web/phone. You could still do allocations this way, you'd just need to have a separate MOS for this purpose.
2. We set up a Google form that people can fill out with their requests. We collect name, contact information, show they would like, number of tickets, etc. Then we use an order import to build the orders in Tessitura. We love this and order import is fantastic for helping!
3. We have also set up an attribute for a particular comp reason. So we have an attribute with a text box where we enter what they are eligible for. When they redeem we type the word DONE in the box to show they used their comps. We also link a constituency code to that patron with the attribute for quick info when selling tickets. We haven't used it this way but I think you could attach rankings for online sales to unlock a price type.

Thanks for the advice. It looks like the way we may end up doing this is creating a dummy performance in a GA Hall for each of our show runs. This way we can seat all of the actors in a GA Hall seat, which then becomes their “voucher code” when they call the box office to use the comps (I’ve created a ticket design that makes the Seat Row/Number appear like a code). Then when they (or their family members) call with this code, we can exchange their dummy comps for comps to an actual performance. This will help us track who has used their comps and which of our staff and actors are consistently not using their comp tickets.

We do a similar thing as you propose Steve, but our GA comp perf begins empty and fills as requests are made. All performers and staff are given a promo code and asked to request the tickets via our ticketing website (though they can always do it in person if they wish). They fill out info in a web form including the name and zip of their guest and a CSI is created for them with that info along with a number of reserved unprinted seats equal to their request. When the box office staff addresses their request they'll either 'print' the request to indicate that it has been addressed or release the GA seats if for some reason the request could not be filled. This way the box office staff need only glance at the GA perf with the requestor's account selected and they can see at a glance whether they've reached their allotted number of comp tickets.
The web portion is all done using out-of-the-box TN Express Web functionality.
It works fairly well for us, though there are a few tricky points we've had to work through. Great to hear about others' solutions for this.
