Does anyone track artists/performers in Tessitura? Audition information, resumes/headshots, agent information, etc.? If so, how do you do it? We’re looking into doing this and wanted to see how others are doing it.

We use attributes, associations and constituencies to track soloists, composers, agents etc
For our musicians we set up an attribute of “instrument” with various values. Combined with constituencies to define between casual or permanent, this enables our orchestral management team to pull lists of musicians based on those parameters. It has worked really well for us as it has involved another department to keep records up to date and using Tessitura.
We don’t add photos resumes etc.

We track audition appointments and casting data for our young performers using attributes, for example:
FS YP Audition 2010 = 7/15 JOHN (noting that the student has an audition for 2010 on July 15th with John)
FS YP called back = Show1 (repeated for each show that the student is called back for)
FS YP cast = Show1 (similar to above)
FS YP not called back = not called back (used to help pull lists for no-thanks postcards)
We use similar attributes for adult performers, and also have attributes for Directors, Designers, Stage Managers, etc. to track what shows people have worked on over time.
It is a very quick-and-dirty method with no reporting but at least it helps keep the information all in one place. I’d think you could use a combination of this with research notes to get what you need?
I also recall a conference presentation by Seattle Children’s Theater where they actually have a facility for auditions set up like a timed-entry facility, and seat people in their audition timeslots that way.

Hi, Jeanne-- Yes, we track a lot of this sort of data in Tessitura, mostly in a set of custom tables and tabs for data entry. Agency/Agent and Agent/Client control-grouped associations, too. Not so much with headshots and resumes, though we could.
