Staff RAMP Token agreement

Hello everyone, and particularly RAMP users,

We are in the process of converting our Tess users from using the Cisco VPN to tokens.  As they are assigned to individuals, and due to the cost of them I am wondering what kind of procedures you have in place.

Particularly interested in hearing about agreements that staff sign, emphasizing the security requirements and agreeing to pay the replacement cost if they lose it.  If you have something like this in place, is it possible to forward me a copy at dwoods@grandtheatre.com?

Also if you have some thoughts on how and where the tokens are stored on site, that would be great!  Thinking particularly of our higher volume staff areas like our Box Office and Call Center.

Thanks,

Duane

  • We have a token agreement at La Jolla Playhouse, two versions actually, one for staff and a slightly different one for interns. Glad to send both to you. We basically just took our form that we use for keys and modified it to be more token applicable.

Any spare unassigned tokens we have are stored in a locked IT closet.

  • We are moving to RAMP and I saw this old post about Token agreements. Sorry to rehash but are you still able to share this document? If so....

Thanks in advance for your help.

  • Tina,

    This is what I use.

    Token agreement

It is a modified version of the sign out sheet we use for metal keys.  Our policy is that full time staff have full responsibility for their tokens.  The tokens for part time staff are stored in the safe by the ticket office manager.  The part time staff sign in and out for their token at the beginning and end of their work shift just like they do for their start up cash they keep in their till.

To use the agreement  an existing Tessitura user fills out the top portion with their name, signature and serial number of their token.  If the user is a new hire then additional fields can be filled out and used by IT to create the new user account.
