Volunteer Application through TNEW

I am not sure if this is the correct discussion to pose this question, but I am looking to create a volunteer application form that drops data directly into Tessitura, similar to ticketing, but with different required questions and fields. Currently, people interested in volunteering have to fill out a PDF form and I manually input the information into Tessitura.

Along with this, I would like to have a volunteer portal that volunteers can access using their same login information. I've searched the forums about this and found information from 2010 that was semi-helpful and all about Resource Scheduling, which is not really what I am looking for. I look forward to hearing from other organizations that have implemented not only a volunteer application, but a volunteer portal as well.

Thank you,

Ellen Bialek, Development Coordinator, Ballet Arizona

  • Hi Ellen! Miss you!

You could use custom forms for the volunteer application, and have it stored in Tessitura as a CSI. I could help you with that.

What kind of info and/or capabilities would you want to have for your volunteer portal?

  • We have application/EOI forms for Company Auditions and School Workshops etc that drop loads of data into a local table in Tessitura (I'm working on that as we speak).  We used to dump it into a CSI but free type fields are messy for some characters.

We have a little bit of web code that takes the $0 and single ticket drop down and adds it to the cart without displaying that select so it doesn't look too much like an item order page.

Because it is a "performance" that they are booking, you could have that add as a digital content page in their account and display info there

  • Hi Jordan! Miss you too!

Ok, interesting, so I would still have to transfer information from CSIs to the person's account in Tess. For example, we ask for birthdays, so that will populate in the CSI, but I will still have to enter that information in the Attributes tab, which is where we track birthdays. There is no way for the information from the form to be entered into the correct area in Tess automatically?

As for the volunteer portal, below is my wish list:

    - Volunteers can access it using their same TNEW login

    - Volunteers can see what volunteer events they've attended and how many volunteer hours they worked

    - Volunteers can see available slots for upcoming events

There is more (ex. how many ticket vouchers/promo codes earned, how many vouchers/promo codes used), but baby steps.

  • Hi Heath,

I have a similar question for you as well, the local table in Tess that the application info dumps into, would I still have to manually move the information from that table to the correct area in Tess where we track it? For more context/an example of what I mean is in my reply to Jordan above.

You hooked me at $0 and a display that doesn't feel too much like a ticket order, that is exactly what I like to hear. Unfortunately, I have no experience with web coding. Although I would love to learn, perhaps I could pass along the information to someone who could execute what you are talking about?

    Thanks!

  • Hi Jordan, feel free to reply back to my post using my work email. Thanks!
