Phone Number Maintenance in Consortium

We are trying to develop a consortium best practice for managing and updating phone numbers.  Currently, the phone number linked to the primary address is what prints on the membership renewal notice.  There are concerns about one organization updating this phone number at the constituent’s request when they return their membership renewal yet it might be the correct primary phone number for another organization.  We have been considering using contact purposes for phone numbers to resolve this issue, but the membership renewal notice would need to be customized to include this number.  Before going in that direction, we were hoping to find out what other consortiums are doing.

    Hi Barbara!

    Our six organizations share a lot of constituents, and this question comes up frequently. The short answer is that anytime primary contact information is modified on a shared account (i.e. shared by >1 organization), the person modifying the contact details must create a CSI documenting the change.

    The long version is that we have a several-page procedure as well as a flowchart explaining how and why to do all this. I'd be happy to share them with you if they'd be helpful.

    I've just posted both of these documents to my files under my profile. I'll warn you that the Data Management Standard document is in need of an update but its bones are sound :)
