Education Event Tracking

Hello all!

We are setting up our education events in Tessitura. We have talkbacks, student workshops, teacher workshops, master classes, etc.  The majority of these events are free, so we are planning to use Activities to track them. 

There are a few workshops that are paid.  We would like to use Activities to track everything, but since money cannot be taken through Activities, we are looking for other options.  The money collected is not tied to donations, so we don't want to use Elevated Events.  We could use performances, but that means those workshops would be tracked separately from the free workshops.  Using performances for all workshops wouldn't allow us the extra tracking tied to Activities.

Has anyone else run into this issue?  How did you decide to track your free vs. paid edcuation events?

  • Hi Angela,

    What sorts of extra information are you tracking that works in Activities but not in Performances? I don't know Activities very well, but I do know Performances, so maybe there are some analogous fields that would work for you.

    The other option I see would be to keep everything in Activities, and then use a "dummy performance" to collect the fees. This would be a bare bones performance with editable pricing set for an arbitrary date and time. You'd be able to collect money and associate it to a customer, and then you could make notes in various fields that the Activity was paid for.

    We create all our EDU classes, workshops, etc. as ticketed performances and have a separate education season, campaign, etc. now to track these. This is the first year we've had enough content to do it on this scale though, but so far, so good.

    Curious, what would be the extra tracking benefits for activities? Are you thinking about status maybe? That can probably be done in a similar way via promotional codes.

  • Yes, we are mainly thinking of the status fields and we like the simplicity of adding the Activity since the majority of our workshops are free.

  • We are mostly interested in using the status field in activities…thanks for the idea about using  a dummy performance!  I am not sure if that’s the way we will go, but I hadn’t thought of that.

  • Hmm ... thought I'd written a reply to this one, but it doesn't look like it's showed up. I was going to say that we used the Activities tab for a lot of our Education concerts because a) of the sheer volume of education concerts each year (1500-2000), b) the dates were always changing up until the last minute and c) it made it easier for our Education staff to use Tess without specific box office setup knowledge. We didn't quite have enough room on the activities tab, so we now use a custom-made tab as well. 

    When the concerts are all finalised and we're ready to collect money, then we create a performance and book it in that way.
