Education Initiatives & Using Tessitura

Hello all,

The Kentucky Center's Governor's School for the Arts is looking for a new database to house their needs (i.e. tracking auditions, summer program enrollment, tracking outreach attendence, teaching artist contracts, etc.).  I know that the Seattle Children's Theatre did a presentation at the Conference, but I'm wondering if anyone else can give some feedback with examples of how your organization has made Tessitura work for your Education programs (i.e. classes, auditions, etc.) instead of using a separate database.

    Here at the Flynn, we are in the process of setting up our classes and masterclasses/workshops in Tess.  We've had our student matinee series in Tess for two seasons so far.  Student Matinees are set up as their own season, and the classes, summer camps and workshops are in their own.  The classes are set up as 'shows' in each semester, and hold codes are applied to reflect the class limits for each one.  Since we track the income for each semester separately, we've set up our facilities with different price zones for each semester which allows us the track the revenue to the separate GL accounts. 

    For minors, orders are set up thru the parent's account and the kids are linked to the order using special requests.  This is the same structure we use for SMS orders - the order is under the school, teacher in special requests.  This requires custom reporting to get the info back out and into a class list, show map, etc.

  • We (New Victory / New 42) presented with SCT last year.  We do outreach, student matinees and "camp" weeks.   Each Ed. department is a little different which is what is nice about being able to customize.  We rely heavily on Tessitura for just about everything now.  We use custom screens to track order info, classes and attendance, we keep teaching artist records, and we are now starting to do a lot with attributes to get demographic info about schools as well.  I'd be happy to talk or email about it.

  • We have been registering child and adult classes in Tessitura for about a year.  For children’s classes, we sell orders to the parent and assign the child on the special request window (the MOS requires a SR).  Each class is set up as a performance with different price types for discounts and scholarships.  We have a couple of custom reports including a confirmation letter and a class roster.  We also have a custom field on the Custom Data tab of the Order window for the date the waiver is received.

     

    We are in the process of setting up our outreach program using performances.  We will probably use custom fields on the Custom tab page on the Performance Details window.  Fran from the network has been extremely helpful in providing suggestions for outreach programs.

  • Thom,  we create Tessitura constituent records for each Artist but we do not use Tessitura as a payroll system (if I'm understanding your question correctly).  Sorry if this was misleading.  We use the Artist constituent as a reference in custom tables to track their involvement in leading workshops and performance talkbacks, but to estimate or process their fees.  The most I'd feel comfortable with would be to assist our payroll procedures with reports, not to replace them.

     

    What specifically doesn't fit well with Tessitura?  Not knowing any details, the first question I would ask is, would a custom screen and a local table get it to work?
