Hello!I am working on setting up new campaigns for our upcoming fiscal year, and I've noticed that we have a ton of funds and campaigns that we don't ever use that are still active. In order to clean up the records, I would like to inactivate these, but I'm not sure if there are any negative repercussions of inactivating funds or campaigns. Can anyone shed some light on the topic?I am a new development and Tess person, so I'm still learning the ropes. Thank you so much for your help!Sara
You can always get to the data – those campaigns are grayed out on the dropdown menu but can still be selected.

Hi Sara,
I haven’t found any problems with inactivating Campaigns or Funds when we switch over to a new fiscal year. You’ll still be able to select them as criteria in reports. The only thing you won’t be able to do is, say, add a solicitation or an appeal for a previous year if you notice someone’s account is missing some history (that’s an easy fix, you can always re-activate a campaign or fund. It’s just an inconvenience!).
Hope that helps.
Cheers,
Christine

Sara,
I haven’t had any problem inactivating a campaign and encourage it if you are no longer using it. If you revive a campaign, which is generally tied to a fiscal year you could rename it for the current fiscal year. In the case of a fund I would ask your finance folks before inactivating anything.
I have a question of my own. I’m new to Tess and am looking for examples of how other companies structure their Funds/Campaigns/Appeals and would love to see a template if you have one. I’m trying to create a spreadsheet so that our database admin can set the FY up. Do you have that? Could you share?
Thanks,
Kristin

I inactivate funds and campaigns each year. There are no negatives as far as reporting. The inactivated funds and campaigns will appear in the ALL list in Campaigns and Campaigns -> References. For list criteria and reporting, the inactivated funds and campaigns will appear at the bottom of the drop down list and will be grayed out. You can still select these items, it is just Tess’ way of letting you know those are not currently active.
I hope this helps.
Marie

No problems inactiviating things at all. The data is pullable and it makes sense to keep things cleaned up. The only thing you should never do is change the Campaign year. I did that once and messed up a lot of data.
