Solicitations

Is there a way to import solicitation information right into the solicitation tab from an excel spreadsheet?  If I have a list of Constituent IDs and all the solicitation informationn, campaign, type, solicitor, worker, status, designation, etc... on a spreadsheet can I just upload it somehow?

If not, how do larger organizations keep track of all of this?  For example, I have a large board prospect list and they have a variety of solicitation statuses and ask amounts, so I can't just go in to the module and assign the one option to this board member's entire list...

Any help would be greatly appreciated!

    There is no way to import solicitations directly from a spreadsheet unless you get your database person to do this for you through the "back end".

    You can however create and/or update solicitations for a group of constituents at once using the "Manage Solicitations" tool.  There is a great help document called "Solicitations", it will walk you through the steps.

    Basically you need to create a list (which you could create by importing the constituent ids from your spreadsheet) then you add a solicitation for each constituent on that list at CAMPAIGNS-SOLICITATIONS.  Initially when you create the solicitations they will all have the same values but you can adjust values on each as necessary before you save them to the constituent record.

  • Thanks, Dale.  I have been using the Manage Solicitations which is great, but when the info is so diverse (especially the ask amounts) it becomes time-consuming and tedious to enter it.  Oh, lovely intern!!  J

    Thanks for the e-mail!  I just learned that trick about using Note Pad and that is especially helpful with creating a huge list of a variety of constituents.  I suppose I could use this method here as well, I would just have to segment my prospect lists even further which would result in a lot of lists but hey – it’s worth a shot and see what takes the least time!

    I know that we can update of solicitations. But, is it possible to change/update the campaign name in bulk, as well.

    Solicitations were added to a large group of individuals.  The campaign chosen for the solicitation is different from the campaign to which their gift was entered.  I would like to change the campaign chosen in the initial 'add' solicitation to the accurate one and have created a list in list manager of those records that need to be changed.

    When I try to update there is nothing there because the campaign is not correct and when I choose the campaign to whichthe solicitations have been added, I don't see updating campaign as an option .  Some of the records in the original update will remain.  I can update them individually. And if that is the only way, I better get on it.  I am hoping it is not the only way!  There are over 2000 records that will be affected!  Help!

    It’s a little more work, but what about running a Solicitation report against your list to isolate the records you want. Then use the hyperlinks to access the solicitations within each record and change the campaign there? To check as you go along, close out and re-run the report as is to see how it has reduced. Again, I know its not ideal or pretty, but it would get the job done.
