Gift entry adjustment

About a month ago a pledge was entered for a board member using an incorrect appeal.  Now that the pledge payment has come in and we now know that the appeal used was a mistake, is there a way to change this in a gift entry adjustment or do we need to write-off the pledge and start over again?

Just to make matters more complicated, we entered the payment on the pledge before catching the mistake.  Thanks for any advice!

  • I think other people are making this much more complex than it needs to be. If you go into the pledge on the Contribution tab in the donor's account and change the source on that a different source, the Appeal will be changed to match the new source. There's no need to do an adjustment.

    You can do this without needing to do an adjustment whether the pledge payment has been entered or not.

    We do these type of fixes all the time--no need to create a new batch or do anything beyond entering and correcting the Contribution.

    I was able to get access to the grayed out fields allowing me to change Date and Source.  That solved the problem. 

    In a separate account I have to correct a campaign – that seems like it will require a gift adjustment, am I right?  And if I do adjust the gift, does it affect the date of the transaction?  I am, unfortunately, dealing with fiscal year issues.

  • Correcting a Campaign is definitely done via an Adjustment. To correct the campaign you'll have to reverse out the gift and put it back in under the correct campaign. Our business rules are to put the corrected gift in with the same date that the original gift being adjusted went in under (so if you originally entered the gift in with the date of, say, 8/1/11, we put the gift in with the gift date of 8/1/11 even if we're doing it today. This makes it so the gift doesn't "travel" to a different date--especially over different fiscal years, this helps keep things sorted for us.

    You can never affect the date of the transaction--under the transactions tab, it will always reflect the day something happened. The transactions tab is historical--all your errors are preserved there, even if you correct them at a later date via an adjustment. But all of our reports run off of the Contributions tab for this reason.
