Gift entry adjustment

About a month ago a pledge was entered for a board member using an incorrect appeal.  Now that the pledge payment has come in and we now know that the appeal used was a mistake, is there a way to change this in a gift entry adjustment or do we need to write-off the pledge and start over again?

Just to make matters more complicated, we entered the payment on the pledge before catching the mistake.  Thanks for any advice!

 

  • You can always change the source code after the fact. Which would then should move it to the correct appeal. If you go to the donor’s record and double click into the contribution you can edit the source code from there.

  • You don’t mention if you have crossed fiscal years but generally you can just reverse the pledge as adjustment and reenter – in this case as a gift.   It is also possible to just edit the Source code – but you need to check with how you report things (transactional reporting will not reflect this edit but screen display etc will adjust)

     

    If you have cross over fiscal years you should check with you Financial folks but you can reenter and change the contribution to past date.

    You will want to check the tess documentation for contribututions and adjustments.

    What I normally do is first "refund" the contribution to "on account", then follow the rest of the directions for adjusting a contribution. After that, I adjust/reduce the pledge using the same contribution tess help documentation.

    Finally, I re-enter the pledge and/or contribution. The payment method will be "on account".

    Be sure to put notes in the contributions that clearly explain your reasoning for adjusting the contribution.

  • I think other people are making this much more complex than it needs to be. If you go into the pledge on the Contribution tab in the donor's account and change the source on that a different source, the Appeal will be changed to match the new source. There's no need to do an adjustment.

    You can do this without needing to do an adjustment whether the pledge payment has been entered or not.

    We do these type of fixes all the time--no need to create a new batch or do anything beyond entering and correcting the Contribution.

    I was able to get access to the grayed out fields allowing me to change Date and Source.  That solved the problem. 

    In a separate account I have to correct a campaign – that seems like it will require a gift adjustment, am I right?  And if I do adjust the gift, does it affect the date of the transaction?  I am, unfortunately, dealing with fiscal year issues.

  • It totally works to just change the source, but that won't change the source and appeal on the original transaction. So I'm pretty sure, but may be wrong, the reasoning behind adjusting it out is to cancel out the transactions with the "bad" source/appeal. As Leslie mentioned, depending on how you report on it, you could still see the original source and appeal if the report you're looking at is referencing the transaction vs the pledge/gift/etc.

  • Correcting a Campaign is definitely done via an Adjustment. To correct the campaign you'll have to reverse out the gift and put it back in under the correct campaign. Our business rules are to put the corrected gift in with the same date that the original gift being adjusted went in under (so if you originally entered the gift in with the date of, say, 8/1/11, we put the gift in with the gift date of 8/1/11 even if we're doing it today. This makes it so the gift doesn't "travel" to a different date--especially over different fiscal years, this helps keep things sorted for us.

    You can never affect the date of the transaction--under the transactions tab, it will always reflect the day something happened. The transactions tab is historical--all your errors are preserved there, even if you correct them at a later date via an adjustment. But all of our reports run off of the Contributions tab for this reason.
