Multi Year Pledges

I have discovered an issue with reporting our multi-year pledges in regards to the contribution date that was automatically applied when the pledges were processed.   We have hundreds of multi-year pledges that all hold the same contribution date as the date the pledges were entered.  For instance John Smith on 3/1/2009 pledged $10,000 for the next three years.  All three pledges were processed to the future campaigns but the contribution dates for all three remained  as 3/1/2009.  When the future pledge payments begin to come in the contribution dates remain the same as the original date the pledge was created. 

I would like to know if any organizations adjust the contribution dates to the future year so when running reports by contribution date these pledges will show up in the correct campaign year?  If you do adjust the contribution date do you do it when processing the original pledge or when the pledge is paid?

  • If these are multi-year pledges, I am assuming that also means that the future years are restricted and therefore part of your Temp Restricted (TRNA) balances.  From a financial perspective I don’t think you should or would want to change these dates.   The contribution indicates when it was entered into TRNA.    

     

    You would need reports that show all transactions within a date range when you looking at  contributions so that the unrestricted contribution appears regardless of original date.

  • I also enter the date of payment into the notes section when I enter the pledge payment. This makes it  a little easier for our development department to find the info.

    We keep the original pledge date and book the future funds to the applicable fiscal years.  Many of our reports have been altered to run based on either the fiscal year campaign or transaction date to allow us to report on pledge payments.  I agree with Leslie in that you probably don’t want to change the contribution date as that is one of the only unifying factors to indicate that this is a multi-year pledge, or payments belonging to the same pledge.

    I also agree with the others that it is probably best to retain the original contribution date.
    Once you start doing multi-year pledges you quickly learn that contribution date is pretty much useless in reporting and list building, but it is possible to survive without it. There are a lot of reports out there that offer additional criteria to contribution date that will help you get the information you need, but if you are dealing with hundreds you may also want to do as Amber's Org. does and alter some reports to make life a little easier.  Just be sure to leave the contribution date open ended if it is available as a criteria option on a report.

    Thank you everyone for your responses, good advice and comments.  Yes, we do have hundreds of multi gift pledges and so we are struggling with reports as our second year pledges are coming up.  We will definitely be doing some research on the problems and working on a solution to our reporting.   We have taken everyone’s advice at this point and decided not to change the dates.
