The Kauffman Center for the Performing Arts is in the midst of a seat naming campaign and I am looking for the best way to track what the contributors want put on their seat plaque. A few caveats:
We don't have the venue built in Tessitura yet. At some point in the future we will probably set up a "performance" allowing us to "sell" that seat to the patron who named it.
So, is there a way (custom screen? Aliases?) to track the 200 character long messages that the contributors are choosing? What things have others tried?
Our Director of IT built a custom Seat Plaques radio button on the custom screen with 3 sections: Seat (drop-down with all nameable seats in both of our theaters—once one has been chosen, it drops down to the bottom and cannot be reused); Plaque Text (what’s actually written on the plaque); and Notes (for any special circumstances—e.g. we noted if plaques were given to someone for performing in our gala, etc.) We entered the information retroactively on each person’s constituent record.
He then built a custom Seat Plaque Report that pulls all of the information. We can sort however we want—by constituent, theater, section, etc.
It works well for us. Let me know if you have any questions.

Levi,
I wonder if you could use the Program Lists/Preferred Name radio button under Names in Tess. I believe you can add different pulldown options so this would be separate from your regular program listing. I’m not sure if there is a character limitation, but something to check out.

Thank you all for the responses. Program Name would be my preferred method since it doesn't require much customization. I'l have to see how many characters that field can hold.
Caroline, do you know if your custom screen is available in the Shared Reports on the Tessitura TASK system?
Program Lists/Preferred Name would be the most logical place for something like this but you would only have 70 characters in the name field.
If you don't want to go the custom tab route you might consider adding a new Research Note type and putting the information in Research-Notes.
Another option might be using Associations. Create a new association type and associate all donors to the seat campaign to a "Kauffman Center" account. The Notes field in an associtation holds 255 characters.Dale

Program listing is one option, but as others have noted here there is a limit to 70 characters. We were having similar issues and have created a custom tap in contributions that contains 3 fields. the first allows you to choose one of the existing Program listing types or "Other see below". The second is a custom field for the gift specific listing. and the third is for notes. We have a custom report to pick up this information. We usually use this in conjunction with "designation". So if the patron has designated this gift "In Memoriam" we would add the special instructions here and it wouldn't interfere with their listing for their regular Annual gift. They can also make several "In Memoriam" gifts for different people and the information always remains with the gift. We also use this for other naming opportunities.
