Noting Name Changes

How do other organizations note name changes?  For example, if a patron changes a name on a subscription form, our Box Office will change the name in their record, which will affect the general salutation, but not other salutations.  So when Development is preparing a mailing, they'll sometimes notice that the gensal is different from their Devo salutation, but won't know why.  How do other organizations indicate the context for name changes in Tessitura?

  • We use CSIs to track the reason for name and address changes in the general tab.  We have a CSI category of Customer Request with activity types of Name Change and Address Change.

    We require the person making the change not only say what the change was, but also who requested the change/why the change is being made. 

  • We have a CSI for all address/phone/e-mail comments, with Activity Types of Address Comment-CSI Warning, Do Not Call, Do Not Mail, Former Named Contact, Name Comment, Phone Comment. Former Named Contact is used for institutional accounts where the N2 changes. We put in a Former Named Contact Alias and use the CSI to explain.

    Common actions for this type of CSI are Updated Account, Updated Name/Addr/Phone, and my favoriate, Set Phone/Mail Preferences. Users are encouraged to be detailed in notes fields so that people can follow what changed, and why.

    A nice feature we added is that if an Address Comment CSI combined with an Activity Type of Address Comment-CSI Warning is not resolved, a warning appears in the constituent header.
