Hello all:
We've had a few problems with recieving gifts (especially those made online or with subscription renewals) that haven't been booked as pledge payments, but as new gifts, because nothing has flagged the person entering gifts that were was a pledge payment pending (unless, of course, the donor self-identified it). Is there something else we should be doing with pledge payments to be altered when going into gift entry for an account that has a pledge balance remaining?

Yes – In Tools/Preferences – the folks entering gifts can set it so they always see pledges .

There is a setting in Preferences that will cause the pledge payment window to open automatically (right after a source is entered) when processing a contribution for a constituent that has an outstanding pledge. Here are the details:
Automatic Notification of Open Pledges - When this option is checked, the Existing Contributions screen will automatically open after a source is entered on the Contributions screen if the current constituent has pledges with outstanding balances. By default this setting is checked, and this setting is assumed in all processing examples in this document.
This is a per-user setting and is turned on by default, so whoever is making the mistakes must have unchecked it. If you have all your contribution processors check it, it should be pretty hard to miss an outstanding pledge unless you load the wrong constituent account (like a duplicate of the account that has the pledge).

Christopher’s original post indicated that some gifts were made online, as opposed (I presume) to being entered by a gift processing person. Is it really possible to accept pledge payments online and have Tessy automatically apply them to an outstanding pledge? If so, does the system tell the donor over the web what pledges are open and what the balance is? And if so, I take it you are comfortable sending such data out over the web?

Hi,
Your contribution entry person can set his/her preferences to show 'Automatic Notification of Open Pledges.' A pop up window will appear listing all outstanding pledges after you enter the customer number and source code. This warning is useful and provides a chance to code the donation properly.

After reading all your helpful comments, I double checked the preferences screen (which did have the appropriate box checked) and this is what I learned:
When subscribers make donations with their renewals (either online, mail or over the phone), our ticket agents put that money 'on account.' Our office then prints a report of all on account transactions and enters it. The problem with our procedure is that we entered payments BEFORE choosing a source code, since the payment screen pops up automatically in gift entry after entering a constituent number . This meant, of course, no pledges popped up. Just an FYI in case any has a similar problem in the future.
Which makes me wonder -- does anyone put an outstanding plege in the header somehow? Somewhat similiar to an account that has an invoice balance remaining? Just a thought...

The payment screen popping up first does not preclude the Pledges popping up too. You can put the payment, enter the source code, tab off and the Pledges will appear. If it doesn’t work that way at your site you may have a bug.
