Who can add credit card numbers?

In the spirit of continued PCI compliance, I am wondering the following question for other development departments: Who in the department is allowed to ADD credit card numbers to a donor record in Tessitura? All members of the department? Only the gift processing position? Are gift officers allowed to enter new credit cards? Curious if anyone else has gone through discussion in terms of who has permission to add this information. This hasn't been a topic for conversation at my previous organizations, but is worth discussing now. Any input would be appreciated!
  • We have left the ability open as our call centre reps will set up pledge contributions so need the ability to add the credit card number to the patron file.

    We do have the T_Defaults setting 'CC_STORE_ACCOUNT' set to No so that only credit cards attached to a pledge will be kept. If the credit card is not attached to a pledge, then it is purged.

  • We went through this pretty recently and decided that any full time staff in the Development Department could add a credit card number directly into Tessitura.  This was a change from how we previously operated where only the gift entry person and one other person could add a credit card. The full number gets encrypted and can not be seen when viewing in Tessitura (I think how much of the number can be viewed is editable).

     

    We changed because we decided it was more secure for us to have people who receive credit card numbers put them directly into the database rather that writing everything down and giving it to one person.  This said, we still end up writing some down and transmitting them that way sometimes (staff forgets they can enter them in the system, or they don’t want to take the time), but it has been reduced. For times when we do have to write down numbers, we have 2 secure places staff can lock them up so nothing is ever just laying around, waiting to be processed and shredded.

  • Anyone in my department can add numbers, but it’s mostly me who processes the money and thus enters the numbers.
