Two Acknowledgements, Two Constituents, One Transaction!

I've had trouble getting this to work for some time, and wonder if I can get someone's advice. When we process a gift membership, we would like that contribution to trigger 2 acknowledgement letters - 1 receipt for the giver and 1 membership card for the receiver.

I can set both of these letters up, get them to be triggered by the contribution, and even have them write to the correct constituents in their "Contact Log". However, I can only get one to "queue up" with the Write Acknowledgement Letters report at a time.

When I have both ack letters active, only one of them is pulled by this report (even when I try selecting the reprint option). When I delete one of them, the other queues up, and vice versa.

Does anyone else have 2 acks triggered and written to 2 different constituents with just 1 contribution? If so, could you walk me through your Acknowledgment Rules setup and other processes? Thanks! 

  • Marie, is there anything markedly different about how you set these 2 acknowledgements up from the way you set up for contributions where only one is triggered? I can't seem to get this to work.

  • Update: I did some investigation, and I think the problem is with the acknowledgement letter itself. I went into the contribution window and "duplicated" the acknowledgement that was created but not queued. Then I ran the Print Acknowledgement Letters report, selected that template type, made sure "reprint" was set to No, and the report still came up blank!

    I think this might be a problem with the acknowledgement template itself, even though it looks identical to all the other letters I have set up. Anyone experience anything similar?

  • Yes. For matching gifts, we have a thank you queued up for the individual AND a thank you queued up for the company.

  • The way I can get duplicate letters is by using the matching gift function. One letter is assigned to constituent #1 and then when I add in the matching gift/credit info, a duplicate of the same letter type is added for constituent#2/credittee.

     

    Here is what I have to do to issue an indiv focused letter to the person AND a corp letter to the matching company: I run my ack report for one letter type and merge with letter type #1 for the individual. Then I close out the word doc and merge word doc, returning to my ack report results. I then select my letter type #2 and merge to print my corp letter. (Yes, it will merge the whole group of letters, but then I delete the ones I don’t need and then print the one that I do.)

     

    I am not sure how to automate/issue a duplicate of the SAME letter type. One thing I have done is copy and paste the form letter within my merge batch and change the name. (Increasing my letters batch by 1).
