Tracking -Coding Trustees

1.  We track Trustees as a constituency with start and end dates.  But we have Trustees that return following one or more years.  I cannot keep historic dates as Tessitura does not allow multiple entries for the same constituency.  How are others tracking their Trustees?

  • We use constituencies to track the current board.  Our admin updates with current dates through the end of the fiscal year.  We then update attributes so that we can get a listing of what years the board members have been active.  I just updated for 2017 this morning.  We have only been using this for a short time, but have used it to create lists for funders, etc.  So far so good.

    For our Board of Directors we use an Affiliation relationship between the board member and the Board of Directors (organization) account. I made a specific type of affiliation called “FGO Board Member” so that it’s very specific. When a board member is elected to the board, that is the start date, and the end date is the end of the fiscal year three years along.

     

    I have a job that is scheduled to run every 20 minutes that deletes all BOD constituencies and then adds it for anyone who has an active affiliation of the correct type.

     

    You could also set this up to leave active constituencies alone, adding language to skip adding a constituency if it already exists, and skip deleting it if it has an end date.
