Tracking -Coding Trustees

1.  We track Trustees as a constituency with start and end dates.  But we have Trustees that return following one or more years.  I cannot keep historic dates as Tessitura does not allow multiple entries for the same constituency.  How are others tracking their Trustees?

  • At the Nashville Symphony, we track Board members using relationships where we set up a relationship for each term.  In addition to term beginning and end dates, we can also track offices and notes for that term.  Those relationships are related to a “Nashville Symphony” constituent.  We use a relationship type such as “Board Member” etc.  Relationships allow us to track multiple terms.

     

    Additionally, we have set up a custom field “Campaign Division” where we code Board and Trustees.  That code automatically assigns a constituency so that everyone in the organization can immediately see the Board constituency when they view a constituent record.  This is double entry, but it works well for us.

  • We have a FORMER constituency in place for those who leave our Board. Our start and end dates correspond to the terms of the Board, and those are anywhere for 2-4 years, and can be renewed. The FORMER constituency covers the length of time they were NOT on our board. Unfortunately, you do lose the term(s) before the FORMER time-frame because you will want to reactivate and update the dates of the active constituency.

    Attributes does not allow start and end dates.  What do you attach for relationship?  Do you create a record just for your organization’s Trustees and connect to that record?

  • Yes the Relationship is with your organization – or the Dept that manages Board relationships  -- depending upon how you might want to organize things functionally. 

     

    Attributes are not there for tracking time (start/end date) but as a way to easily pull the Board Type --- Managing Director, Associate Director, Emeritus etc.    This is info folks pulling list would want but it is also too much detail for those using constituency -- all the Call Center or Web needs to know is the person is a Board member –the Header info provides this.

     

    Relationship record lets you record – the start/end, type of Board relationship and notes AND more recently tracking the salutation and address to be used.

    We use Constituency codes for the current year and an Attribute for the previous years where the Attribute = Board,  and the criteria = the fiscal year.

  • For our Board of Directors we use an Affiliation relationship between the board member and the Board of Directors (organization) account. I made a specific type of affiliation called “FGO Board Member” so that it’s very specific. When a board member is elected to the board, that is the start date, and the end date is the end of the fiscal year three years along.

     

    I have a job that is scheduled to run every 20 minutes that deletes all BOD constituencies and then adds it for anyone who has an active affiliation of the correct type.

     

    You could also set this up to leave active constituencies alone, adding language to skip adding a constituency if it already exists, and skip deleting it if it has an end date.

  • We use constituencies to track the current board.  Our admin updates with current dates through the end of the fiscal year.  We then update attributes so that we can get a listing of what years the board members have been active.  I just updated for 2017 this morning.  We have only been using this for a short time, but have used it to create lists for funders, etc.  So far so good.
